About the role

We are looking for a proactive and organized Procurement Senior Specialist to join our Group Procurement & Facilities team in Athens, reporting to Procurement & Facilities Manager and support the implementation and management of procurement processes, approvals, and contract management systems. In this role, you will collaborate closely with leadership to ensure the smooth rollout of key operational initiatives while managing day-to-day procurement and vendor relations. This is an excellent opportunity for someone with 3-5 years of experience to grow their skills in a dynamic and fast-paced environment.

Key Responsibilities:

  1. Procurement Process Implementation:
    • Assist in the design and implementation of procurement processes, ensuring alignment with company policies.
    • Support the setup of approval workflows for purchases, working with key stakeholders across legal, finance, and operations.
    • Help develop and optimize procurement strategies that meet the company’s operational needs and cost objectives.
  2. Contract Management System Setup:
    • Aid in implementing a contract management system, helping to organize, track, and manage contracts.
    • Collaborate with legal and finance teams to ensure contracts are compliant with company standards and industry regulations.
    • Maintain an organized database of contracts, tracking key milestones such as renewal dates and performance reviews.
  3. Procurement Coordination:
    • Manage procurement activities such as sourcing vendors, obtaining quotes, and processing purchase orders.
    • Ensure that purchases are approved in accordance with the established procurement process.
    • Track procurement budgets and expenses, ensuring cost-efficiency and compliance with financial goals.
    • Liaise with suppliers and vendors to ensure timely delivery of goods and services.
  4. Vendor and Supplier Relations:
    • Serve as the point of contact for vendors, managing relationships and resolving any minor issues.
    • Assist in evaluating vendor performance to ensure they meet service-level agreements.
    • Help negotiate pricing and terms to maintain cost-effective supplier partnerships.
  5. Operational Support:
    • Provide operational and administrative support across departments to ensure smooth day-to-day activities.
    • Assist with the organization and tracking of office supplies, equipment, and facilities management.
    • Support the implementation of new operational initiatives and cross-functional projects as needed.

Requirements

  • Education: Bachelor’s degree in Supply Chain Management, Business Administration, Finance, or a related field. A professional certification in procurement or supply chain management (such as CPSM, CIPS, or CPM) is a plus.
  • Experience:
    • 3-6 years of experience in procurement, sourcing, or supply chain management, preferably within the business services industry.
    • Demonstrated success in vendor negotiation, contract management, and cost reduction initiatives.
  • Technical Skills:
    • Proficiency in procurement software and tools (e.g., SAP Ariba, Oracle, Coupa) and Microsoft Office Suite and Google Suite.
    • Familiarity with ERP systems, with experience in end-to-end procurement workflows.
  • Soft Skills:
    • Strong analytical skills and attention to detail with the ability to identify cost-saving opportunities and improve efficiency.
    • Excellent communication and interpersonal skills, with the ability to build and maintain relationships with suppliers and internal stakeholders.
    • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
    • Strong organizational and time management skills, with the ability to handle multiple priorities in a fast-paced environment.
  • Knowledge:
    • Understanding of procurement principles, sourcing strategies, and supply chain processes.
    • Knowledge of contract law, compliance requirements, and industry regulations.
    • Familiarity with procurement best practices and market trends to inform sourcing strategies.
