ActionAid Hellas (AAH) is searching for a Procurement & Operations Officer, to join a global movement of committed individuals working to further human rights and defeat poverty. We are an independent, international organization that has been working since 1972.

The scope of this role:

Manage contracts, support in various financial tasks, facilitate the operational functions of the organization (supplies, building facilities and maintenance), coordinate with supporters, suppliers and visitors.

Key Responsibilities:

  • Manage contracts by procurement and financial aspect
  • Gather and/or evaluate various offers
  • Monitor travel requests and keep travel log
  • Involve in general Finance & Operations activities
  • Execute all proforma invoices process to the ERP system
  • Manage & reconciliate Petty Cash
  • Execute supporters’ requests for payment by receiving cash/ cards at the office & issue corresponding receipts
  • Organize facility operations with involved partners (cleaning crew, technicians etc.)
  • Handle all office consumables and make the necessary orders
  • Enable & disable alarm system daily and provide information to security services company
  • Greeting, welcoming, directing visitors and maintaining a well-presented reception and waiting area
  • Receive, screen and forward incoming queries (phone calls, post, emails)
  • Communicate with the remote phone support vendor for any updates or scheduling
  • Support the Evacuation Team as a member

 

Requirements

  • Knowledge of office administration and business management
  • Minimum 2 years of experience in relevant field
  • Studies in business, supply chain management, or a related field will be considered an asset
  • Knowledge of MS Office package
  • Very good written and verbal communication skills (in Greek and English language)
  • Ability to work well and in a professional way with others
  • Attention to detail and thoroughness
  • Ability to effectively manage multiple responsibilities
  • Very good time management skills and the ability to prioritize effectively
  • Promote ethics and morals that govern the organization
