About the Role

This exciting and varied role ensures the smooth flow of activities related to the day-to-day operations of our Thessaloniki office while also overseeing the construction and preparation of our new office space. As we transition from our temporarily  space to our permanent office, you will act as the primary contact, ensuring the project stays on track and meets the company’s standards. You will also support office technology setup and general IT tasks, making this role both operational and strategic.

What will you do

Office Operations & Construction Oversight:

  • Oversee the construction and preparation of our new office space in Thessaloniki, acting as the main point of contact for the project.
  • Ensure the project meets timelines, quality standards, and company requirements by reporting progress and coordinating with contractors.
  • Support the transition from the current co-working space to the new office, helping with office layout planning, seating arrangements, and IT setups.
  • You will report directly to the Office Operations Manager based in Athens, maintaining regular communication to ensure the project aligns with overall goals. Given the distance, you will need to work independently, making decisions and handling challenges proactively while keeping your manager informed of key updates and any issues that require attention.

Technology Setup & Support:

  • Assist with setting up laptops and handling basic IT tasks for employees.
  • Ensure all technical aspects (IT, equipment) are smoothly integrated into the new office space.

General Office Operations:

  • Coordinate office activities to ensure efficiency and compliance with company policies.
  • Keep office areas well presented (reception, rest areas, meeting rooms).
  • Manage visitor check-in/check-out procedures and office security.
  • Maintain records and databases with personnel and financial data.
  • Handle phone calls, emails, and packages, and manage conference room calendars.

Procurement & Facilities Management:

  • Assist in managing office supplies, processing invoices, and tracking expenses.
  • Serve as the point of contact for building management matters (maintenance, supplies, equipment).
  • Assist with seating plans and new hire setups, including IT-related tasks.

Requirements

  • Bachelor’s degree in General Management, Business Administration, or related field.
  • At least 1 year in office operations and administration, with experience overseeing office construction or facility projects.
  • Familiarity with basic IT setups and ability to handle technical tasks related to office operations.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); strong communication and organizational skills.
  • A proactive and agile mindset, with the ability to adapt to challenges and act as the "eyes" of the project for the management team.
