Practice Operations Specialist

We are seeking a Practice Operations Specialist to support the operational and strategic success of our Expert Technology Advisory (ETA) Group, the litigation and regulatory expert arm of the firm, and its Practices. Our ETA Group is a global industry leader and works with top academics from Harvard, Stanford, MIT, top companies like Meta, Epic Games, and top law firms like Skadden, Cooley and others in AmLaw 100.

Our Practices are led by our Consulting leadership and require operational and strategic support to function well. The person in this role will proactively develop partnerships with ETA and Practice leaders, operations partners and other stakeholders in order to support operations and growth of ETA Group and its Practices. This role is ideal for someone who has strong business acumen, is well organized, and can manage multiple projects and stakeholders simultaneously. This role will report to Director of Practice Operations.

Responsibilities:

  • Provide administrative and operational support to ETA Partners and Practices, including meeting coordination
  • Collaborate with ETA Group Partners and Practice Leads to support weekly/bi-weekly calls including scheduling and preparing agendas and meeting notes and following up on action items
  • Ensure alignment of all Practices with the ETA Practice Framework including maintaining directories of officers
  • Ensure alignment of all efforts within Practices and the ETA Group with broader ETA Group goals
  • Provide support to Practice Officers to assist in goal achievements – including research, project management, data analysis and more
  • Manage ETA Group goals and priorities by tracking meeting discussions and emails, monitoring progress, identifying next steps and potential roadblocks, and following up on action items
  • Act as a liaison between ETA and Operations team
  • Assist and coordinate on all efforts related to ETA Group and its Practices – including, but not limited to, preparing for ETA section of monthly firmwide updates and Board presentations, building slides
  • Prepare comprehensive project status reports on Practices for ETA Partners
  • Assist with ETA budget and workforce planning as needed
  • Serve as the centralized resource for best practices and implementation across Practices
  • Understand the legal subscription landscape and promote usage of the correct services
  • Work with Finance and other stakeholders on projects impacting ETA Group and its Practices – including conducting research and designing implementation and communication plans
  • Contribute to the creation and execution of coordinated tactical action plans supporting ETA Group and Practices
  • Identify and implement continuous process improvements, leveraging technology and innovation when appropriate, to enhance efficiency and reduce administrative burdens
  • Collaborate on the coordination of ETA Group and Practice events/offsites
  • Serve as the point of contact for administrative support to our Experts*, and operational liaison between Experts and Keystone Operations team owning Expert’s end-to-end operational experience at Keystone – from contract management, onboarding to offboarding

Qualifications

  • Enthusiastic, team-player who is willing to dive in head first in a fast-paced environment at a growing firm
  • Natural collaborator, people-person, and effective communicator
  • Ability to work independently and provide guidance to executive level management across all operational areas and ETA practices
  • Extensive knowledge of Microsoft Word, Excel, Power Point and Outlook; basic knowledge or experience with Customer Relationship Databases and Resource Management/scheduling tools; experience with Salesforce is preferred
  • Excellent written/verbal communication, analytical, problem identification and resolution skills; organized and deadline oriented
  • Ability to handle ad hoc projects as business requirements emerge and evolve
  • High professional and ethical standards for handling confidential and sensitive information
  • Excellent multi-tasker - experience with project management a plus

US Salary Range: $60,000 - $110,000, plus an annual discretionary bonus, 401k contribution, and competitive benefits package. Actual compensation within the range will depend upon the level the individual is hired into based on their skills, experience, qualifications.
