We are looking for a detail-oriented individual that can join our fast-growing Implementation Team. The PMO Administrator will support the Professional Services leadership team at HICX in ensuring effective operational management of projects across a portfolio of 10+ projects to ensure they are completed on time, within budget, scope, and quality.

Key responsibilities include:

Reporting

Provide management reporting and metrics (at both the project and portfolio levels) to management

Create weekly and monthly portfolio performance reporting, including status reports, RAG reports and Financial reports as well as executive summary packs for senior management within the HICX organization

Control

Document and track portfolio risks, issues and action items

Track project performance, specifically to analyze the successful completion of short and long-term goals. Monitor and understand dependencies across multiple inter-related projects

Provide assurance and quality control, information and financial tracking and project compliance in line with HICX Project Management Methodology

Ensure that the actions and outliers from stakeholders are followed up

Able to spot and anticipate potential risks and mitigate them before they become problems

Help building and maintaining the “only version of the truth” for project data

Good Practice

Draft new, and improve existing, project management office policies and processes within project implementation department

Develop best practices and templates while providing training and mentoring to project teams

Survey SME’s on efficacy of PMO owned processes and propose improvements

Support

Support the ongoing oversight of all customer facing projects and related resources

Contribute to the efficient running of a Project Management Office

Able to see the bigger picture and to understand how each one work supports the wider organizational objectives

Requirements

  • Excellent written and verbal communication skills, able to use an appropriate method of communication for each person taking into consideration their individual needs
  • General understanding of project management principles and methodologies
  • Prior Project Management Office (PMO) experience is a plus
  • Very good knowledge of MS Office in particular MS Excel, MS Word, and MS PowerPoint
  • Good knowledge of project management software (e.g. Smartsheet) and experience in Jira, Confluence is a plus
  • Proactive mindset and can-do attitude
  • Able to talk with people and validate data in order to create meaningful clear information/reports that can be acted on
  • Demonstrable ability to deal with time pressure and tight deadlines and successfully prioritize tasks
  • Confident in encouraging project managers to complete their reporting and administrative duties, as well as summarising the project and financial status to senior managers
  • Detail-oriented with strong analytical and critical thinking abilities, excellent at analyzing large datasets to provide reports and insights for senior managers
  • Experienced in working with data extraction, data aggregation and manipulation
  • Willing to work under Consultancy Agreement
