What you will do?
Marketing Project Activity Coordination:
- Assist in the planning, execution, and tracking of marketing activities, including completion of documents for internal approval and monitoring of activity milestones.
- Processes accreditation of vendors and hotels to be utilized in marketing activities and in coordination with Sales and Administration Assistant for proper maintenance.
- Manage travel arrangements (flights, transfers, and hotel accommodations) for target customers.
- Coordinate with distributors, vendors and marketing teams to ensure timely execution of marketing projects.
- Monitor and report on the progress and effectiveness of marketing campaigns.
Administrative Support:
- Provide general administrative support, including scheduling meetings, preparing reports, and maintaining records.
- Manage communications with external partners, including vendors and healthcare professionals.
- Prepare service agreements and sponsorship contracts of HCPs to be duly signed by nominated signatories within prescribed timelines.
- Prepare payment requests for all marketing related activities, e.g. payment for services, billing statements from vendors, with attached supporting documents to be provided by the KAM and to be submitted to Finance within the prescribed timelines.
- Ad hoc logistics support during marketing activities and meetings as needed.
- Monitors consumption reports and expenses related to marketing activities against budget.
- Assist in the preparation and distribution of marketing materials, brochures, and samples
Data Management:
- Maintain accurate records of marketing activities, including contact lists, distribution logs, and feedback from HCPs.
- Support data entry and management of customer relationship management (CRM) systems related to marketing activities for liquidation purposes.
Compliance and Document Management:
- Ensure all marketing activities comply with regulatory requirements and company policies.
- Prepare and maintain documentation related to marketing campaigns, including contracts, invoices, and expense reports.
- Receive and route documents to their recipients.
- Communicate with all concerned parties reports on document monitoring.
- Safekeep and monitor contracts related to marketing activities, such as service agreements of HCPs and contracts from vendors, etc.
Qualifications:
- Bachelor’s degree in business administration, Marketing, or a related field.
- Minimum of 2 years of experience in an administrative or coordination role
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Ability to work independently and as part of a team.
- Familiarity with the pharmaceutical industry, particularly in ethical products, is an advantage.
