Job Summary

Primary responsibilities of this position involve donor support and engagement; fundraising campaign assistance; event support; grant writing and research; donation recording, reporting and documentation; administrative support; digital fundraising and marketing support.

Key Responsibilities

Donor Support and Engagement:

  • Assist in managing donor communications: Assist in drafting acknowledgment letters, thank-you notes, and personalized messages to donors.
  • Assist in maintaining donor database: Ensure accurate and up-to-date records in the donor management system, tracking donations, contact information, and engagement history.
  • Respond to donor inquiries: Provide timely responses to questions or requests from donors and potential supporters, ensuring a positive and professional experience.

Fundraising Campaign Assistance:

  • Coordinate campaign logistics: Help organize and support fundraising campaigns, including assisting with digital fundraising platforms and event registrations or donations.
  • Track progress: Monitor campaign goals and donation progress, providing updates to the development team and assisting with any necessary adjustments to keep things on track.

Event Support:

  • Assist in event planning and execution through the identification, recruitment and retaining of a volunteer event committee.
  • Serve as the lead point of contact for the 32nd Annual Otterbein SeniorLife Dilgard Golf Open. Provide administrative support for fundraising events, such as donor recognition and year end events, i.e. Tree of Hope events.

Grant Writing and Research:

  • Assist with grant preparation: Support the Philanthropy team by compiling information, helping with research, and ensuring grant applications are submitted on time.
  • Conduct donor research: Identify new prospective donors and research funding opportunities (individuals, foundations, corporations) to support the organization’s mission.

Reporting and Documentation:

  • Assist in generating reports on fundraising progress, donor engagement, and campaign results for internal use or board meetings.
  • Track donation receipts and acknowledgments: Ensure that tax receipts and donor acknowledgments are processed and sent in a timely manner.

Administrative Support:

  • Coordinate meetings and appointments: Schedule meetings as needed.
  • Manage correspondence: Handle day-to-day administrative tasks such as email correspondence, phone calls, and responding to donor inquiries.

Digital Fundraising and Marketing Support:

  • Assist in donor communications: Help draft content for newsletters, donor reports, and social media posts that highlight the impact of philanthropy on the organization.
  • Assist with online campaigns: Support digital fundraising initiatives, including managing social media content, email appeal and targeted display ad content and online donation platforms.

Team Collaboration:

  • Support the philanthropy team: Work closely with other team members to help reach fundraising goals and provide support wherever needed.
  • Assist in internal communications: Keep the team informed about ongoing tasks, upcoming events, and any issues that arise, ensuring smooth collaboration.

Donor Database Management Responsibilities:

  • Assist in donation data entry
  • Produce acknowledgement letters as needed.
  • Update and maintain current donor records assuring accurate data entry, donor acknowledgement and recognition.

 Donor Communications Administrative Responsibilities:

  • Assist in writing and updating content for major donor assets — including but not limited to emails, letters, thank you notes, and more.

Fundraising Strategy and Campaign Assistance:

  • Assist in creating and managing special event pages, registration forms, surveys, or other items as needed for fundraising and cultivation purposes

Qualifications/Special Skills/Requirements:

  • Organizational skills: The ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Strong communication skills: Both written and verbal, to interact with donors, staff, and other stakeholders. Excellent communication skills (writing, editing, listening and speaking)
  • Attention to detail: Ensuring accuracy in data entry, communications, and event logistics.
  • Interpersonal skills: The ability to interact with a wide range of individuals, building positive relationships with donors, volunteers, and colleagues.
  • Ability to work in fast past environment with multiple daily interruptions
  • Excellent time management skills and ability to work independently and as part of a collaborative team
  • Basic graphic editing skills a plus
  • Proficiency with Microsoft Office Suite, donor management software knowledge preferred (e.g., Salesforce, Raiser’s Edge, etc), and basic knowledge of social media platforms.
  • Associate’s Degree or High School Diploma with 5-7 years professional experience preferred
  • Experience in gift designation, entry and acknowledgement preferred
