Personal Assistant to MD, Advertising and Chief Commercial Officer (up to £41,500)

About the role
In this dynamic and multifaceted role, you will play a key part in the heart of a busy, thriving advertising sales department. You will provide comprehensive support to both the Managing Director (MD) of Ads and the Chief Commercial Officer (CCO). This includes managing diaries, coordinating meetings, and overseeing travel and expenses. In addition to supporting the leadership team, you will contribute to the smooth running of the wider Ads department, including event planning, administrative tasks, and fostering a fun, inclusive, and diverse team culture.
As a key member of the IMAds Social Board, you will also help to organise and execute various internal and external events, both for clients and the team. You’ll need to be a proactive and highly organised self-starter, able to multitask and prioritise in a fast-paced environment while managing high-pressure events and tight deadlines.
MD and CC Support:
- Provide full administrative support to the Chief Commercial Officer (CCO) and MD of Advertising, including diary management, meeting coordination, and email inbox management.
- Coordinate internal and external meetings including securing meetings with senior agency and client contacts.
- Manage travel arrangements (international and domestic including detailed itineraries and meeting schedules.
- Handle expense report ensuring timely and accurate submission.

Departmental Support:
- Oversee the day-to-day operations of the Ads department, ensuring smooth functionality.
- Raise invoices, including collating brand splits and liaising with Accounts Payable.
- Coordinate travel arrangements for the department.
- Maintain and manage the department’s distribution lists, including adding/removing new starters and leavers.
- Manage and organize stationery supplies for the department, communicating regularly with the Facilities team.
- Set up new starters with relevant tech and systems and arrange their induction plans by liaising with hiring managers.
- Manage the distribution of magazine voucher copies and maintain the magazine cupboard.
- Process and manage expenses for the Ads Leadership Team (LT).
- Organise Christmas and birthday gifts for the Ads LT.
Events & Social Board:
Assist in planning and executing a variety of department events, such as:
- Sales days, Quarterly All-Hands meetings, and cultural events.
- Client and agency events at both internal (VH) and external sites.
- Team social events and hospitality/entertainment engagements.
- Act as a key member of the IMAds Social Board, helping to shape the department’s social culture.
- Organise Ad Sales training sessions and team strategy days.
- Manage client entertainment accounts (Arsenal, O2, Fulham) and oversee the allocation and distribution of tickets, along with relevant relationship management.
Communications & Recognition:
- Produce and send the weekly Ad Sales Newsletter to keep the team informed of developments.
- Organise recognition initiatives, including:
- SOTW (Salesperson of the Week) and Monday learning rotas.
- Weekly awards nominations, including distribution to the LT.
- Quarterly awards – manage nominations, shortlists, and records of winners.
- Learner of the Month nominations and recognition.
- Update weekly Connect highlights for the department screen, ensuring diverse and engaging content is displayed.
Requirements
- A proactive, self-starter who can multi-task and prioritise effectively in a fast-paced environment.
- Exceptionally organised, with a calm demeanour when under pressure.
- Experience in event management, with a proven track record of executing high-pressure events with tight deadlines.
- Strong communication skills and a team-oriented attitude.
- A keen sense of responsibility and attention to detail, particularly in managing confidential or high-stakes tasks.
