Action Finance Initiative – AFI is the leading non-banking microfinance organization in Greece. AFI aims to assist micro-entrepreneurs and unemployed people willing to create their own business and those who do not have access to the conventional credit market, by providing them with micro-financing, training and business support services.

In the past 9 years AFI has provided access to 9 million euros to start-ups and existing businesses, whilst offering training and mentoring to over 6.000 unique entrepreneurs and creating 1000+ new job positions. The microfinance sector in Greece is newly regulated and is expected to grow significantly in the next years. AFI is licensed by Bank of Greece and is seeking to recruit an Executive Personal Assistant (PA), with an enhanced role, to be a supportive force who empowers our senior leadership and the overall organization to enable such a growth.

Requirements

The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support. Given the dynamic nature of the business, we rely on an executive assistant to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

  • Support the CEO primarily and provide additional support to team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Manage communication with employees by liaising with internal and external executives on various projects and tasks
  • Maintain and refine internal processes companywide, and coordinate internal and external resources to expedite workflows
  • Plan and orchestrate work to ensure priorities are met, organizational goals are achieved, and best practices are upheld

Key Responsibilities

  • Manage professional and personal scheduling and calendar for CEO, including agendas, mail, email, phone calls, client management, travel and other company logistics
  • Provide administrative and office support, such as central mailbox management, typing /dictation, minute taking, maintenance of filing system and contacts database and invoice processing
  • Assist on running banking/financial database checks and on reviewing the documentation provided
  • Communicate and follow-up with clients where necessary
  • Facilitate Business Development, exploring opportunities and conducting primary contact
  • Organize team communications and plan training and other events, both internal and off-site
  • Maintain professionalism and strict confidentiality with all materials

 

Required skills and qualifications

  • Four or more years of experience in an administrative role reporting directly to upper management
  • Excellent written and verbal communication skills in both Greek and English
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player with a can-do attitude, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

Preferred skills and qualifications

  • Experience in overseeing budgets and expenses
  • Experience in developing internal processes and filing systems
