ROLE
As a Personal Assistant, you will support two Senior Leaders with extensive diary management, travel bookings, inbox management, general administration, personal agenda, and project coordination. The ideal candidate will have a background working with the Legal or Finance teams and perform well in a fast-paced environment. We’re looking for a true creative thinker who can bring best practices and new ideas to the role. You will have a strong background working in a diverse environment that is high-energy and service-driven.
WHAT YOU'LL DO
- Proactive diary and correspondence management whilst navigating different time zones
- Manage and filter incoming emails and flag priority items where necessary
- Manage all travel, accommodation, and preparation of itineraries
- Manage expenses, log and keep track of receipts, invoices and manage PO’s
- Proactively prepare agendas in advance of key meetings and take minutes/ presentation support as and when required, working with the highest levels of confidentiality
- Operational ownership for Senior Leaders' projects including the organisation of regular global team meetings and team training as well as organising team events
- Attending some meetings on behalf of the Senior Leaders and feedback actions as appropriate
- Ensure general understanding and adhere to all FARFETCH Policies
- Proficient at developing, implementing, and maintaining procedures and processes
- You have a flexible approach to work and enjoy working in a busy multi-national environment
- Line management responsibility for more junior members of the Business Assistant community as appropriate
- Active member of the Business Assistant community and cover for other assistants on a regular basis
WHO YOU ARE
- Have extensive Executive Assistant experience supporting C Level and VP level stakeholders
- Confident in using Gmail, Google Docs, Google Drive and Microsoft Suites
- Proficient in Budget Planning
- Experience in Event Planning
- Capable of working calmly under pressure
- Exceptional degree of accuracy and attention to detail
- Flexible to support personal needs
- Ability to influence in a positive and enthusiastic manner
- Strong experience in internal and external stakeholder management
- You can demonstrate confidentiality and discretion at all times
