What does an intern is required to do?

  • · Interview Coordination: Schedule interviews across multiple time zones, ensuring seamless coordination between candidates and interviewers. Send calendar invites, meeting links, and any necessary instructions to participants.
  • · Candidate Communication: Serve as a point of contact for candidates, providing them with relevant information about the interview process, addressing their inquiries, and sending reminders as needed.
  • · Administrative Support: Assist the HR team with day-to-day administrative tasks, including document preparation, data entry, and maintaining accurate records in HR systems.
  • · System Updates: Update candidate statuses in the applicant tracking system (ATS) and other HR platforms, ensuring accurate tracking of the interview process and candidate information.
  • · Document Management: Organize and maintain HR files, including interview feedback forms, candidate applications, and related documents, in line with confidentiality and data protection policies.
  • · Calendar Management: Help manage HR team members' calendars, ensuring availability and alignment with scheduled interviews and other meetings.
  • · Logistical Coordination: Arrange for any special requirements needed for interviews (such as room bookings or technology setup) and assist with troubleshooting if issues arise.
  • · Follow-Up: Assist with post-interview follow-up actions, including gathering interviewer feedback, sending thank-you emails to candidates, and updating candidates on next steps.
  • · Team Support: Provide general support to the HR team, assisting with ad-hoc projects and tasks as required to ensure efficient operations within the HR department.
  • · Continuous Improvement: Contribute ideas to improve scheduling processes, communication methods, and administrative efficiency within the recruitment function.

Requirements

· Strong Organizational Skills: Ability to manage multiple tasks simultaneously, prioritize effectively, and maintain attention to detail in a fast-paced environment.

· Excellent Communication Skills: Proficiency in both verbal and written communication, with the ability to communicate clearly and professionally with candidates and team members.

· Time Management: Ability to work within tight deadlines and coordinate across different schedules, ensuring timely follow-ups and adherence to timelines.
