People Operations Coordinator

What you will be doing:

We are looking for an organised, driven & collaborative People Operations Coordinator to join our People team to help us build our SaaS-based anti-money laundering solutions, which empower organisations to fight financial crime. We are building cutting-edge solutions that help create a safer world and stop money from ending up in the hands of criminals. Based in Cluj-Napoca, you will join the People Operations team, and work to support employees based in the UK, Romania, USA, Singapore & Portugal and get involved in all aspects of first-line HR support.

As a People Operations Coordinator, you will be involved in:

  • Pre & Onboarding
    • Ensure a positive onboarding experience for new starters (including presenting HR Induction presentation) as well as ensuring systems are up to date, the necessary paperwork is completed and archived, health and safety training is completed, internal documentation and pre-employment screening is completed, enrolment in company benefits and InfoSec compliance
    • Ensure employment contracts are issued within the agreed SLA and take proactive steps to resolve any potential issues.
  • Offboarding
    • Manage the offboarding journey providing clear communication to the manager and leaving employees of what is required of them, ensuring our systems are up to date, IT is notified in order to collect equipment, required paperwork is completed and archived, internal processes are triggered and we are InfoSec compliant
  • Benefits
    • Manage the administration for all employee benefits & any trackers associated
    • Respond to queries relating to benefits
    • Ensure that a) the Talent team has up-to-date information in their offer letter templates and b) the HRIS (HiBob) is kept up to date with benefits information. 
  • First-line People support 
    • Respond to the people's queries raised within JIRA and via the people.queries email inbox and escalates issues where needed
  • HR Administration
    • Become familiar with all letter templates, understand how to capture, action, and communicate employee changes remain compliant and implementing and adhere to best practice
    • Assist with the creation of any new letters 
    • Assist the People Business Partners with ad-hoc duties in support of the employee lifecycle
    • Learning and development budget tracker - respond and manage learning requests and ensure our systems and info are up to date, applications are processed in a timely manner and expenses & invoices are tracked and reported
    • Ensure all employee files are signed, and archived and that all employment information is up to date, completed, and filed in our People team systems, per our compliance and audit requirements.
    • Tracking supplier invoices ensuring they are reconciled and paid in line with internal policy
  • Right to work Checks and Documentation 
    • Manage sponsorship duties for all ComplyAdvantage office locations and ensure Right to Work records are maintained accurately.
  • Payroll
    • Support the payroll process reporting and reconciliation to a high level of data accuracy: file documents for payroll (sick leave, paid time off requests), ensure accuracy of bonuses, on-call, benefits, and entertainment expenses protocol, reports, and tracks in the internal systems, Timesheet check, internal payroll checks
  • Finance and Legal
    • Support any local reporting and administration as required
  • Data Management
    • Ensure data in our systems is accurate at all times and updated in a timely manner
  • Office Support
    • From time to time, help to co-ordinate office events and provide assistance with health and safety requirements as required.

What does success look like after 3 months?

  • You will have a basic understanding of all our systems 
  • You will be able to complete Onboarding, Offboarding, and Payroll tasks without support
  • You will be responding to first-line-level queries from employees

As a People Operations Coordinator, you will have:

  • Experience working in a similar HR position
  • HR qualification preferred
  • Experience working with G-Suite, HiBob, and JIRA is preferable
  • Strong attention to detail
  • Data accuracy and a good eye for detail
  • Curious and proactive
  • Work well on repetitive tasks
  • Strong customer service skills 
  • Team player who loves to collaborate and share thoughts and ideas
  • Strong English communication skills - both written and verbal
