Role Summary
The Payroll Manager is responsible for overseeing and directing payroll procedures, ensuring compliance with laws, tax obligations, and company policies, and maintaining accurate payroll records. This role is directly responsible for processing the two US payrolls (Salary and hourly) and managing the Canadian Payroll Specialist, ensuring the successful completion of Canadian payroll processing.
What You Will Do
- Managing the Canadian Payroll Specialist who is responsible for the semi- monthly payroll for approximately 400 employees based across multiple provinces, with the majority in BC and Ontario.
- Processing the two multi-state US payrolls (Salary & Hourly) for approximately 700 staff based in all parts of the US.
- Oversee the end-to-end payroll function, following best practices and ensuring accuracy, timeliness, and compliance across all payroll operations.
- Collaborate closely with cross-functional departments to ensure alignment on payroll processes and support overall business objectives through effective payroll management.
- Process and review new hires, LOA, terminations, payroll file maintenance changes, and deductions.
- Process data in the ADP payroll module for commissions, spot bonuses, retention bonuses, relocation bonuses, retro pay, severance, gross-up calculations, LOA pay, and time batches for hourly employees.
- Prepare semi-monthly payroll journal entries for posting into the SAP general ledger.
- Maintain accurate payroll information and safeguard data for staff’s confidentiality and privacy.
- Respond to staff queries on payroll-related matters in a timely, professional manner.
- Manage integration of new/updated payroll platforms in NA.
- Provide reports to HR, Compensation, Finance, Tax and any other requests.
- Administer year-end procedures for data collection for reconciling taxable benefits and W2 tax forms.
- Manage responses to queries from external auditors during the year-end audits.
- Manage the annual 401k plan external audit.
- Manage the annual external audit of Workers' Compensation insurance premiums.
- Perform other position-related duties as required.
What You Will Bring
- A minimum of 10 years of payroll processing experience.
- Experience with ADP WorkForceNow payroll systems.
- Complete understanding of multi-state US & Canadian payroll processing requirements to ensure accurate payments to staff and proper remittances of payroll taxes and reports to government agencies.
- Solid communication skills to respond to staff and external agencies' inquiries and to develop a strong working relationship with the Human Resources team.
- Exhibit a high level of ownership of responsibilities with a commitment to detail, accuracy, and confidentiality.
- Ability to work independently on all payroll matters as will be looked upon as the “expert” on all related issues.
In the United States, the base salary for this role ranges from $85,000 to $141,000. In addition to base salary, we offer additional compensation including bonus eligibility and a comprehensive benefits package. A candidate’s specific pay within this range will depend on a variety of factors, including job-related skills, training, location, experience, relevant education, certifications, and other business and organizational needs.
