We are looking for a highly organized and friendly Part-Time Receptionist to join our Administration Team at our Rosemont HQ office. As the first point of contact for visitors and clients, this role is critical in creating a positive first impression and representing IMO Health with professionalism and warmth. The position is for three days a week, from Tuesday to Thursday.
WHAT YOU’LL DO:

First Impressions: Greet and welcome visitors, ensuring they have a positive experience and directing them to the appropriate person or department.

Phone and Email Management: Answer, screen, and forward incoming calls and emails, providing accurate information as needed.

Visitor Coordination:Maintain visitor logs, issue visitor badges, and ensure compliance with security protocols.

Administrative Support: Assist with various administrative tasks such asordering and managing office supplies,snacks and beverages, along with inventory management and vendor requests. AssistExecutive Assistants with other light administrative tasks as needed.

Mail and Package Handling: Receive, sort, and distribute mail and packages; manage outgoing mail and courier services.

Office Maintenance: Ensure the reception area and all conference rooms are tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, brochures).

Customer Service: Provide excellent customer service to both external and internal clients, addressing inquiries and resolving issues efficiently.

Data Entry and Record Keeping: Perform data entry tasks, maintainingaccurate records and databases as needed.

Event Coordination: Assist in organizing company events, meetings, and catering arrangement to include receiving, set up and clean up for breakfast, lunches etc.
WHAT YOU’LL NEED:
- High school diploma or equivalent required; associate's degree or higher preferred.
- Proven work experience as a receptionist, front desk representative, or in a similar role.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Friendly, professional demeanor with a focus on customer service.
- Familiarity with office equipment (e.g., printers, fax machines).
- Ability to handle sensitive information with confidentiality.
- Flexibility to assist with additional tasks and projects as needed.
WORKING CONDITIONS:
- Environment: Office setting.
- Schedule: Part-time, Tuesday to Thursday, 8:30 AM – 5:00 PM.
- Physical Demands: Ability to sit, stand, and walk for extended periods; occasional lifting of office supplies up to 20 pounds.
