Operations Officer (IPH)

About the role

Coordinating the customs documentation & clearance tasks while also taking care all activities in regards to sea export or import for assigned customer, assist the Administration Officer and various departments to collect and send documents / cheques to vendors, banks, customers, etc.

Key Accountabilities

Custom Clearance

- To coordinate and work with teammates for daily clearances at Northport, Westport, Southport and Customs Bonded Warehouses.
- To attend to Customs examinations, Customs queries, Customs payments and Customs related requirements until task/job is completed.

Custom Declaration

- To perform loading and engage in surveys on discrepancy cargoes when needed.

- To coordinate with relevant authorities and vendors to collect documents, customs receipts, SSR, MAQIS payment receipt, etc for office administrative and customer’s billing

- To attend to Customs Bonded containers and trucks sealing or break seal activities either in the port or any Customs Bonded warehouses.

- To meet Customs Officers, other relevant government officers to facilitate Customers inquiries

Document Dissemination

- Collect documents & cheques from relevant parties.

- Send letters and documents.

- Stamping and endorsement of documents.

- Send all relevant documents / cheques to the Government authority.

Operation Process

- Prepare documentation by entering data into CW1 system.

- Prepare certificates as per shipper’s request.

- Arrange for fumigation and certificate where applicable.

- Submit pre alert & close job file after vessel/flight depart.

- Check the Ports' system to validate the Port opening and closing time.

- Apply 3rd party code for new COD Customer.

- Arrange Payment Voucher to Carrier/Co-Loader/Supplier/Vendor.

- Update Events in CW1.

- Update customers' website/system where applicable.

Requirements

The successful candidate

  • Minimum of 2 years of experience in operations management or a related field.
  • Strong knowledge of logistics and supply chain management.
  • Excellent organizational and problem-solving skills.
  • Ability to work well under pressure and meet tight deadlines.
  • Strong communication and interpersonal skills.
  • Ability to work effectively in a team environment.
  • Flexibility to adapt to changing priorities and tasks.
