What we’re looking for:
The operations manager will be responsible for the planning, coordination, and execution of events. This role requires a blend of operational expertise, project management skills, and a passion for delivering memorable experiences. The successful candidate will manage all aspects of event operations, from logistics and vendor management to on-site coordination and post-event evaluations.
Role Accountability and Duties:
- Event Planning and Coordination:
- Oversee the operational planning and execution of events from inception to completion
- Develop detailed event plans, including timelines, budgets, and resource allocation.
- Logistics Management:
- Manage event logistics, including venue selection, setup, and teardown.
- Coordinate transportation, accommodations, and catering services as required.
- Ensure all technical requirements are met, including AV equipment and staging.
- Vendor and Supplier Management:
- Source and negotiate with vendors, suppliers, and contractors.
- Establish and maintain strong relationships with external partners.
- Monitor vendor performance and address any issues that arise.
- Team Management:
- Conduct pre-event briefings and training sessions for team members.
- Foster a collaborative and positive working environment.
- On-Site Event Management:
- Serve as the primary point of contact during events, addressing any issues that arise promptly.
- Ensure all event elements are executed according to plan and to the highest standards.
- Oversee the setup, execution, and breakdown of event activities.
- Budget and Financial Management:
- Develop and manage event budgets, tracking expenses and ensuring cost-effectiveness.
- Prepare financial reports and provide recommendations for cost-saving measures.
- Client and Stakeholder Communication:
- Maintain regular communication with clients and team, providing updates and addressing concerns.
- Collect feedback from clients and attendees to assess event success and areas for improvement.
- Post-Event Evaluation:
- Conduct post-event evaluations to assess outcomes and identify areas for improvement.
What you bring to the team:
Qualifications:
- Proven experience (typically 18 2-3 years) in event planning and management.
- Strong organisational and multitasking skills, with the ability to manage multiple events simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools.
- Ability to work under pressure and handle unexpected challenges effectively.
- Flexibility to work irregular hours, including evenings and weekends, as required.
Preferred Qualifications:
- Experience using in Aventri/Stova, Evessio, Crowdcomms
- Experience organising conferences and awards ceremonies
- Strong network of industry contacts and vendor relationships.
