About the Role

The BJSS Regional Operations team is made up of Office Managers and Administration Assistants from each of our BJSS offices, who collectively are responsible for the day to day running of our offices. With over 2000 people split across 20+ offices of varying size across 6 countries, and more locations planned, BJSS is now introducing an Operations Manager role for Melbourne, Australia. You will report to the Head of Australia, with a dotted line of reporting to the Head of Internal Operations, this role will be responsible for: 

  • Team Coordination Acting as a central point for the Regional Operations team, sharing matrix management responsibilities with their local leadership, supporting knowledge sharing across the team and being a first point of escalation 
  • Admin Process Coordination – Owning the processes for shared administrative tasks carried out by the Regional Operations team (Client Operations, Sales Operations, People Operations). Ensure they are documented and understood and that new team members are adequately trained. Continually looking for opportunities to improve efficiency and effectiveness and removing blockers where possible
  • Events Lead the coordination of cross company, multi-site events on behalf of the Regional Operations team. Act as a central point between the Senior Leadership Team and local leadership teams to understand requirements and budgets and ensure events run safely and smoothly
  • Great Place to Work Supporting BJSS’ Great Place to Work vision by supporting the Regional Delivery Lead, Capability Leads, Head of Australia, Squad Leads and Sales in making the office engaging, fun and a productive workspace
  • Growth – Supporting BJSS’ ambitious growth plans by ensuring the stages involved in opening a new office, refurbishing an office and moving offices are well understood and documented. Simplifying the repeatable tasks and supporting decision making on the more complex ones
  • Security – Ensuring all offices continue to meet the required physical security standards of our IS027001 accreditation, supporting audits and ensuring new offices are ready to be included in the scope
  • Sustainability – Driving BJSS’ sustainability objectives across all BJSS offices, identify best practice from both within and outside of BJSS and implementing that across all offices
  • Health and Safety – Ensuring our offices are adhering to all relevant legislation and best practice, maintaining our Health and Safety policy centrally and advising local Office Managers on the relevant processes and documentation
  • Business Continuity - Maintaining the companywide business continuity plan, coordinating annual tests and tracking completion of resulting actions. Taking an active recovery role during a business continuity incident
  • Insurance – Assisting with the annual insurance renewal and ensuring all offices maintain the required standards of our insurance policies
  • Supplier Management – Identifying opportunities for economies of scale in our office supplier landscape

About You

  • Experienced in multi-location facilities/office management with specific experience in Office moves, Office refurbishments and organising large events
  • Creating and implementing policies and procedures
  • Calm and professional
  • Energetic with a positive attitude
  • Able to build relationships quickly and get buy in and respect from senior management and team members
  • Continually looking for ways to make things better, cares about doing things well 
  • Proactive and able to think long term but equally able to deal reactively with the unexpected
  • Experience of managing to budgets and business case creation
  • Happy to get stuck in, helping out with all Regional Operations tasks when required
