Context of the role

The Operations Coordinator will provide comprehensive administrative and operational support  across all Girl Effect teams and geographies as part of the global shared services function. Key responsibilities include supporting procurement processes, overseeing records management, coordinating travel and team logistics, and providing general clerical support to ensure smooth office operations.

What you will do

  • Work closely with our Procurement & Contracting Specialist on procurement and operations administration.
  • Cooperate with the Kenya and global teams to coordinate events, meetings and other logistics across our geographies.
  • Maintain and routinely update the asset, procurement, travel and insurance trackers, ensuring all data is accurate and up-to-date. Collect save and organize relevant supporting documentation for each entry within designated drives.
  • Support the Operation specialist with travel and logistics processing i.e., visa processing, travel insurance processing, booking flights and accommodation.
  • Work closely with the Ops and finance team on petty cash disbursement and reconciliation. 
  • Support the Procurement & Contracting Specialist on virtual credit card set-up and reconciliation.
  • Perform general office administrative and clerical duties. 
  • Any other support duty assigned by the Line Manager

Who You Are

  • Preferably a Bachelor’s degree in business administration equivalent 
  • Bring at least 2 years of direct experience in operations administration or management
  • Preferably substantive experience within an International Development organization
  • Knowledge of working with an ERP - Salesforce experience is a bonus
  • Able to forge strong relationships with colleagues and suppliers.
  • Good negotiation skills
  • Excellent knowledge of IT systems and processes and using technology in general
  • Excellent written, communication and interpersonal skills
  • Must be able to multitask and be very well organized in a fast-moving environment
  • Culturally aware and respectful - curious and sensitive about the cultures in which we operate
  • Self-starter – confident, positive and energetic with a can-do, problem-solving attitude
  • You enjoy taking the initiative and making decisions as part of a complex and varied workload
  • Commitment to realizing the potential of girls and to the vision and values of Girl Effect.
