We’re looking for an exceptional Office Manager to join us in our London office!

Your mission
The Office Coordinator is part of our People & Culture team in London and is responsible for making sure that all of our offices (London, Bristol, Manchester and Ireland) feel like a home to all of our employees, and that they have everything they need to perform their best. The Office Coordinator reports to the People and Culture Manager.

Your role

  • You'll be the face and voice of our UK offices
  • Basic admin tasks and liaison with HQ accounting team
  • Be responsible for the office budget 
  • Lead the organisation and plan of all our social events, including summer and festive parties. Celebrating our milestones and impact is important to us
  • Deploy HR projects that are sensitive for the business, such as internal communication, onboarding, culture activities, etc...
  • Help and support with the onboarding of our employees: welcome sessions, calendars, admin tasks, etc…
  • General purchasing (office supplies, equipments, etc), sending and receiving packages
  • Experience and confidence in managing our IT equipment and being the local IT support
  • Handling the purchase and repair of technical equipment (computers, phones, etc)
  • Responsible for all the office related matters (cleaning, Wi-Fi, services)
  • Define and implement cultural strategies and processes
  • Support with our corporate travel arrangements software
  • Wellbeing: working with the P&C Manager to ensure the physical, mental and emotional wellbeing of our team is looked after and promoted. This includes First Aid, Mental Health First Aid, general health & safety, and fire safety.
  • Health & Safety: actively managing our building checks and ensuring we are building-compliant 
  • Support the leadership team with ad-hoc tasks
  • Support our hybrid team across the 4 UK/IE offices, including visits to each.

Requirements

  • Strong track record in Office Management
  • Previous office move experience would be highly desirable
  • Experience organising events
  • Excellent communication skills
  • Positive, proactive, resourceful & happy to be around people 
  • Experience working in a fast-paced, dynamic environment
  • Passion for our mission
  • Exceptional organisational skills, able to prioritise tasks and anticipate future needs
  • Flexibility, adaptability & ability to remain calm under pressure
  • Creativity and problem-solving skills
  • Spreadsheet/Excel and general G-Suite knowledge
  • You are based in London and able to come into the office for a minimum of 4 days a week (Monday - Thursday)
