As part of the People Team for DACH, you represent Malt in our Berlin office with partners, vendors, our freelancer community, and our team members.
You are responsible for an efficient and functional office set-up and for running the daily operations of our office in Berlin to create and maintain a pleasant work environment. You will also remotely support our team in Munich with their office topics.
You take pride in successfully managing and supporting initiatives to foster a positive and engaging company and team culture at Malt DACH.


Key responsibilities ✨

  • You ensure the friendly welcome and support for team and guests and organize and supervise meetings, trainings & events regarding room preparation, catering and guest support.
  • You organize the smooth processing of all administrative tasks in office operations, including telephone switchboard and mail, just as reliably as the security of the office through our access card management.
  • You are responsible for the optimal and on-budget procurement of office supplies and the effective procurement and maintenance of office and kitchen equipment and furniture.
  • You manage a wide range of suppliers and service providers from telecommunications to facility maintenance, insurance and catering. You negotiate contracts, schedule work, and monitor its proper execution.
  • You are the contact person for property management, sub-tenants and our central Malt Facility Management.
  • You are an important contact for the team on everyday issues, support team events and initiatives and, as our top feel-good manager, you ensure a positive atmosphere in the office.
  • In cooperation with the Human Resources Team, you organize onboarding for our new team members, including welcome packages and office tours.
  • As coordinator for workplace health & safety, you set up and attend health & safety meetings and reviews and coordinate suppliers to ensure compliance of office space and team with all workplace health & safety regulations and training requirements.
  • You always keep your eyes open, bring fresh ideas to the team and support and manage special projects as needed.

About you 🧑‍🚀

  • You bring 2+ years of experience in managing administration and operations for an office or comparable experience.
  • You are a proficient Microsoft Office user and familiar with working and communicating through digital tools.
  • You can communicate fluently in German and English.
  • You are a self-motivated and self-organized team player; a hands-on problem solver with an eye for detail and the ability to prioritize and remain calm also in stressful situations.
  • You love to communicate with different stakeholders to get things done cooperatively and have a natural sense of service.
