For further information on Steer, please take a moment to review our website We are seeking a dedicated and experienced Office Manager to oversee the maintenance and operations of our facilities, ensuring a safe, clean, well maintained and sustainable office environments.

The Office Manager will be responsible for the overall management of building and facility operations, including maintenance, safety, security and environmental management. This role requires strong interpersonal and communication skills, technical knowledge, and the ability to manage multiple projects simultaneously.

The Office Manager will be responsible for overseeing the daily operations of the office, managing administrative staff, and ensuring that office processes run efficiently. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

About the role

Key Accountabilities and responsibilities

Below is the list of core activities associated with this role. Additional activities and/or responsibilities may be assigned from time to time; however, these core activities are consistent with the role title and role in the organisation.

Core Activities

• Manage and oversee daily facilities, health and safety, and environmental (FHSE) related activities within the office(s) of responsibility.

• Coordinate activities and operations to ensure efficiency and compliance with company policies, regulatory and management system (EMS, HSMS) standards.

• Maintain Building Management relationships to ensure expected standards are delivered including the chairing of monthly building management including the chairing of monthly meetings.

• Take a proactive role in ensuring local compliance with health and safety policy and best practice (e.g. acting as Fire Warden, First Aider, Sustainability champion and Wellbeing champion).

• Co-ordinate office maintenance and repair of buildings, equipment, systems and furniture.

• Implement new facilities management processes.

• Deliver health safety and environmental improvements and corrections as a result of internal and external audits.

• Identify and manage supply suppliers and service providers to ensure quality, value for money and sustainability.

• Conduct regular inspections of facilities to identify and resolve issues.

• Maintain records relating to building maintenance activities.

• Maintain asset management for starters, leavers (keys, cards, passes, DSE equipment)

• EMEA DSE Assessment coordination and actions

• Conduct new starter FHSE tours, mange records for internally delivered FHSE training and coordinate external FHSE training is needed.

• Oversee all environmental and social initiatives within the office(s) of responsibility.

• Provide Facilities employee and client services including:

• Meeting and greeting of guests and co-ordination of and provisions for meeting rooms

• Processing of incoming calls including taking messages as required

• Outgoing / incoming postal and deliveries requirements

• Work closely with UK Facilities FHSE Business Partner in delivery of the department Business Plan and to ensure that high standards of FHSE are maintained.

Compensation 

Steer is committed to ensuring that all its employees are compensated a fairly and at a competitive rate. All initial compensation, regardless of location, may be subject to change as skills, abilities, internal equity and geographic location are taken into account. 

In addition to base salary, all employees will be eligible for an annual discretionary performance bonus. Please review the benefits section for more information on total reward. 

Steer reserves the right to ultimately pay more or less than the posted range and offer additional compensation.

Qualifications, Training, Experience

Essential:

• Proven experience in Facilities Management / Office Management role

• Knowledge of Facilities, Health Safety and Environmental systems and procedures

• Good knowledge of Microsoft packages (Word, Excel, Power Point, Outlook)

• Good knowledge of customer service / support services

• Excellent time management skills and ability to multitask and prioritise work

• Attention to detail and problem-solving teams

• Strong organisation and planning skills

• Excellent written and verbal communications

• A creative mind with an ability to suggest improvements

Non-essential but helpful

• Understanding of Health, Safety and Environmental Management systems (ISO 45001, ISO 14001) *can provide
