We’re looking for a capable, reliable Office Manager for our Minneapolis HQ! This is a full-time, salaried position.
Who you are
You are a naturally energetic host and caretaker with a passion for community. Creating meaningful connections comes naturally to you, and it allows you to anticipate the needs of the team you support. You’re extremely organized, fret about the details, and can multitask better than anyone you know. You have a history of success in office management and/or executive assistantship including event planning, facility management, and administrative support. You have a demonstrated ability to prioritize workload and shift attention among changing tasks and priorities. Above all, you’re a self-starter who thrives in autonomy and can work effectively with little oversight.
What you will be doing
Employee Engagement
- Manage and coordinate logistics for Livefront’s annual team retreat, including meeting spaces, catering and vendors, meals, AV, and team transportation.
- Own and manage event planning and communication for other internal Livefront team events and celebrations in Minneapolis and other cities where we have offices or concentrations of team members. On occasion, some travel may be required.
- Capture and organize photo and video content of the team.
- Support the leadership team in celebrating and caring for the individuals across Livefront, including birthdays, anniversaries, and other important life or family events.
- Assist with new-hire onboarding tasks as needed.
Administrative Support
- Book occasional travel, such as off-site leadership meetings and remote employee office visits.
- Manage various regular administrative tasks. Examples include: managing Livefront’s vacation calendar and journal, filing and distributing meeting recordings, and organizing digital and physical assets (swag, photo/video content, electronics).
- Support the CEO and other members of the leadership team in an administrative capacity, as needed.
- Assist with special projects, as needed.
- Run errands, as needed.
Facilities Caretaking
- Care for the Livefront office on a daily basis, including but not limited to stocking the kitchen; tidying up the office; spot cleaning bathrooms, kitchens, bar areas, and common areas; emptying the dishwasher; keeping the refrigerator fresh; restocking office supplies, and generally ensuring cleanliness and functionality.
- Coordinate with and manage the external cleaning service crew.
- Coordinate with landlords and repair and service vendors to manage any maintenance issues or facility needs.
Client & Partner Hosting
- Support client workshops and in-person meetings by booking rooms, organizing lunch, offering beverages, cleaning up, and other hands-on attending.
- Organize and coordinate (and sometimes attend) community events where Livefront is the host, facilitator, or sponsor.
- Serve as the primary go-to person for clients, board members, and other partners visiting from out of town, supporting various needs including but not limited to reservations for lodging, transportation, meals, etc.
