ICEYE is building and operating its commercial constellation of small Synthetic Aperture Radar (SAR) satellites with SAR data available to customers. Our satellites acquire images of Earth at any time – even when it’s cloudy or dark – providing commercial and government partners with unmatched persistent monitoring capabilities. Information derived from our SAR images helps customers make data-driven decisions to address time-critical challenges in various sectors, such as maritime, disaster management, insurance, and finance.

What will you do in this role?

In this role, you will be supporting our daily operations in Poland.

Responsibilities:

  • Manage day-to-day office operations, ensuring smooth functioning.
  • Oversee administrative tasks, including office supplies, groceries, equipment maintenance, and vendor management.
  • Coordinate meetings and appointments, organizing internal events.
  • Handle correspondence, emails, and calls efficiently.
  • Organize and maintain office records and files.
  • Support various departments with administrative tasks as needed.
  • Manage multiple office locations including the main office in Warsaw, as well as smaller facilities and storage areas in Krakow and Poznan.
  • Oversee office management duties at each location, ensuring a consistent standard of operations.
  • Coordinate with local vendors and service providers for facility maintenance, cleaning services, and other office needs.
  • Act as a point of contact for employees regarding office-related inquiries and concerns.
  • Maintain a flexible schedule to address unforeseen issues and accommodate various office needs.
  • Utilize strong multitasking abilities to efficiently prioritize tasks and manage competing demands.
  • Demonstrate excellent people skills in interactions with colleagues, vendors, and visitors, fostering positive relationships and a productive work environment.
  • Collaborate with HR in activities such as onboarding new employees

Requirements

  • Proven experience in office management or related administrative roles, ideally in a multinational environment.
  • Proficiency in office management software (MS Office, G Suite) and familiarity with basic accounting principles.
  • Demonstrated ability to handle multiple responsibilities simultaneously with a mid-level of autonomy.
  • Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels within the organization.
  • Flexibility and adaptability to navigate various office challenges and changing priorities.
  • Excellent organizational skills and attention to detail, ensuring thorough and accurate completion of tasks.
  • Fluency in English and Polish is essential.
  • Bachelor’s/Master’s degree in business administration or a relevant field preferred, though mid-level experience will be considered.
