We are seeking a highly organized, proactive, and resourceful Office Manager to oversee the day-to-day operations of our Munich office. The Office Manager will play a critical role in ensuring that the office runs smoothly and efficiently while providing essential support to both staff and visitors. You will be responsible for managing office supplies, facilities, and services, as well as assisting with administrative tasks to support different departments.

This role is ideal for someone who thrives in a dynamic environment and has the ability to handle multiple tasks with a strong sense of ownership and responsibility.

Key Responsibilities

  • Oversee the daily operations of the Munich office, ensuring it is a welcoming, well-organized, and efficient work environment.
  • Maintain office supplies and equipment, ensuring stock levels are monitored and replenished as needed.
  • Manage relationships with office vendors and service providers (e.g., cleaning, security, catering), ensuring high standards are maintained.
  • Supervise office maintenance, repairs, and improvements, liaising with building management as needed
  • Plan and execute office events/ meetings, ensuring all logistics are smoothly handled
  • Support ensuring the office complies with local health and safety regulations, managing all related documentation and ensuring necessary training is provided to staff.
  • Maintain emergency preparedness procedures and act as the point of contact for any health and safety concerns.
  • Act as the point of contact for office staff, addressing any issues related to facilities, office needs, or general concerns.
  • Foster a positive office culture by supporting employee well-being and promoting an inclusive work environment.
  • Assist in budget tracking and expense management for the Munich office, ensuring costs are within budget.

Requirements

  • 2+ years of experience in office management, administration, or a similar role.
  • Previous experience in a fast-paced, multinational environment is preferred.
  • Excellent organizational and multitasking abilities with a strong attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and office management software.
  • Strong interpersonal and communication skills, with fluency in both German and English.
