What are we looking for?
Dooblo is seeking a dynamic and highly organized Office Manager to join our growing team. This is a pivotal role within our organization, offering an exciting opportunity to drive efficiency, foster culture, and ensure smooth day-to-day operations. Job Responsibilities
Ensure high customer satisfaction by managing support finance and operations requests efficiently.
Issue invoices promptly according to customer schedules and requests.
Oversee timely collections while ensuring adherence to company policies.
Lead vendor cycles, ensuring timely processing and payment of invoices with exceptional accuracy.
Support the monthly and annual financial closing process, ensuring accuracy and timely delivery.
Manage Payroll information
Ensure accurate and timely employee attendance reporting.
Collect, calculate, and enter data to maintain up-to-date payroll information.
Manage accurate monthly reports for payroll processing
Own and manage office and welfare budgets, developing and executing an annual plan.
Plan, organize, and execute employee welfare activities and company social events to foster team engagement.
Oversee the entire recruiting process, from sourcing candidates to scheduling interviews and coordinating follow-ups.
Manage employee onboarding and offboarding processes to optimize satisfaction and retention.
Own all office operations and maintenance, including welcoming guests, maintaining kitchen and office supplies, cleaning services, etc.
Provide administrative support to Dooblo’s CEO, including travel coordination and handling ad-hoc tasks.
Qualifications
Proven experience as an Office Manager, or similar role, in an English-speaking environment.
Strong organizational skills with attention to detail and accuracy.
Excellent communication and interpersonal skills.
Experience with finance admin - managing vendors, invoices and supporting customers is a must
Ability to work independently and manage multiple priorities.
Strong proficiency in MS Office and ability to learn new systems and tools in a timely manner.
