In the middle of a scale-up phase, our People department is structuring and growing.
In this context, we are recruiting our next Office Manager in order to ensure an all-around perfect and smooth people experience at Mytraffic.
ABOUT YOUR TEAM
You will work in a team of 5 partners (HR Business Partner, People Ops, Talent Acquisition...) and report to our Chief People Officer. The team will keep growing in the coming months/years. Enrich it, share your vision, and grow within MyTraffic!
YOUR DAY-TO-DAY
Office (Space management, supplies, office life etc.) - 50%
- Ensuring the office's scalability and suggesting changes to optimize its design
- Participate actively in the design of our present spaces (Management of the organisation of our workspace, decoration...).
- Management of company Software within Admin role (Google, Slack, Confluence, Wework, Alan, Microsoft, Navan, Rzilient and more)
- Automate integration processes on the different software (with API)
- Participate actively into the integration of Geoblink into Mytraffic (software, events, rituals etc).
- Management of all service providers, including choosing the best contracts, placing and tracking orders, handling complaints, and planning maintenance and intervention work with Wework.
- Keep track of budgets and invoices management
- Make sure that workplace health and safety regulations are followed
- Daily assistance with general concerns to all staff (Paris and Europe people).
- Allocation, supervision, and upkeep of IT and telephone equipment
- Participate actively with planning and arranging travels with the business travel tool Navan
- Making sure the workplace is adequately stocked (office supplies, computers, etc.)
- Unrelated purchases (supplies, IT equipment, etc.)
- Be aware of the teams' needs and order the necessary supplies in advance.
Onboarding - 20%
Set up pre-boarding:
- welcoming newcomers and participate actively with the planning and logistics of the Academy's onboarding programs.
- sending invitations and sending emails
- creating welcome packages (computer material)
- Enhancing and improving daily lives by developing new methods and tools to automate repetitive chores
Happiness - 20%
- Bringing our culture to life through a variety of activities and rituals (Christmas party, Summer Party, Team Building, keynote, afterwork, etc.)
- Management of gifts for children's births and weddings
- Taking care of people’s wellbeing by routinely providing small attentions.
- Put in place monthly feel good initiatives to enhance the daily life of people
Support for HR and Finance - 10%
- Organize and insure clear presentations for internal communication events ( Keynote, Mytraffic News..)
- Following the medical visit with SEMSI (convocation, follow-up appointment, follow-up, certificate)
- Spendesk administration
- Manage some partnerships :
Moka.Care, Gymlib and occupational health
ABOUT YOU
- First experience as an office manager, ideally in a start-up environment
- You are autonomous, curious, proactive, dynamic, rigorous & solutions oriented
- Fluent in English
