The Position

We are seeking a highly organized and experienced Office Manager to oversee and manage the day-to-day administrative operations of the China team. The ideal candidate will handle a variety of tasks to ensure the smooth and efficient functioning of the office, providing support in areas such as employee services/experience, office maintenance, facilities management, vendor relations, etc.

Key Responsibilities:

Administrative Responsibilities:

  1. Day-to-Day Office Management:

Oversee the daily operations of the office.

Ensure a well-maintained and efficient working environment.

  1. Custody and Use of the Official Seal: Ensure secure custody and proper usage of the company's official seal in compliance with legal and company policies.

  2. Contract Archiving and Management: Ensure all contracts are accurately scanned and securely archived for easy retrieval and reference.

  3. Support for General Manager and Site Manager on Ad-hoc Matters.

Employee Services:

  1. Onboarding/off-boarding of New/Existing Employees.

  2. Employee Events and Team Building.

  3. Plan and execute employee events and team-building activities to promote a positive work culture.

  4. Supplementary Medical Insurance Management:

Handle contract updates.

Oversee the addition and removal of staff from insurance plans.

  1. Employee Meal Allowance Management:

Handle payment processes.

Oversee the addition and removal of staff from meal allowance plans.

Facilities and Resources Management:

  1. Facilities Management:

Manage office facilities to ensure a safe and comfortable work environment.

Coordinate with building management for maintenance and other property-related matters.

  1. Office Supplies and Equipment:

Monitor and manage inventory levels.

Ensure timely procurement and distribution of office supplies and equipment.

  1. Vendor Management:

Establish and maintain strong relationships with vendors.

Negotiate contracts and ensure timely delivery of services and products.

  1. Office-related Payment Application and Management:

Oversee the processing and management of payments related to office operations including but not limited to Rental, Property Management Fee, Express Fee, Office Procurement, Employee Benefits, etc.

Qualifications:

  1. Bachelor's degree or higher in Business Administration, Management, or a related field.

  2. At least 5 years of experience in office management or a similar administrative role.

  3. Strong organizational and multitasking skills.

  4. Excellent communication and interpersonal skills.

  5. Proficiency in both written and spoken English and Chinese.

  6. Ability to work independently and as part of a team.

  7. Experience with vendor management and contract negotiations.

  8. Knowledge of facilities management and office operations.

  9. Familiarity with legal and administrative support tasks.

  2. Attention to detail and a high level of accuracy.

  3. Proactive and self-motivated approach to work.

  4. Strong computer skills, including proficiency with Microsoft Office and office management software.
