In this role, what will I do?

As the Office Manager, you will be responsible for crafting an extraordinary in-office experience for employees to focus on their roles and make connections. The role is the face of office operations and a critical partner in delivering our Work From (almost) Anywhere philosophy. A few additional responsibilities are as follows:

  • Manage ongoing office operations, crafting an inclusive environment for all OpenTable and KAYAK employees and visitors
  • Champion our Core Values and act as a beacon of our company culture!
  • Deliver light support for other offices that do not have an Office Manager
  • Collaborate and participate across the global Office Manager network
  • Plan, coordinate, implement and lead all aspects of office-initiated events including decorations, setup, and breakdown
  • Facilitate localised approach to programs and initiatives across the workplace footprint (e.g. Do Good Week, Sustainability, Diversity & Inclusion, All Hands, Offsite, etc.)
  • Partner with IT for AV needs in the offices and for events
  • Maintain local office calendar, Wiki page, and info screens
  • Assist visitors in coordinating plans, including accommodation and transportation
  • Partner with Office Lead and Social Committee to manage office budget related to events, supplies, and catering
  • Oversight and ordering of office supplies, shipping and mail distribution
  • Manage onsite food and beverage catering including snacks and lunches
  • Assist local office leadership with ad hoc administrative tasks
  • Partner with our People & Culture team, IT, and Talent Acquisition to onboard/offload employees with appropriate office access and manage seat allocation
  • Responsible for vendor management related to the office, including existing contracts and developing new relationships

Partner with Real Estate on facilities and office footprint operations, including (but not limited to):

  • Local contact and relationship building with landlord
  • Implementation and upkeep of safety procedures and physical security protocols (e.g. safety teams, first aid, paperwork audits, etc.)
  • Office contracts and onsite needs
  • Office moves and refurbishments
  • Managing facility headcount
  • Maintain upkeep of office functionality (e.g. repairs, furniture, power, lights, pantry equipment, etc.)

Please apply if you have experience with:

  • 2+ years of office management experience or similar
