Devoteam is looking for an experienced Office Coordinator who performs administrative support and other tasks to ensure efficient operation in the Prague Devoteam office. Specific duties and responsibilities may include these areas:
Reception - 50 %
Maintaining the condition of the office
Regular orders of refreshments, office supplies, and IT equipment
Point of contact for Facility Management and suppliers
Accepting and sending the post and parcels
General support to visitors
Access and visitor cards
Coordination and support of Internal and client visits
Office management - 30 %
A go-to person within the office for all questions related to office management
Travel booking arrangements, point of contact for agency
Processing of electronic tools for signature of documents (DocuSign)
Organization and preparation of team events
Archiving of all related documents to office management and projects/clients
Keep updated on the handover protocols for IT equipment
Requesting the transfer of the phone numbers for newcomers/leavers
HR support - 10 %
Onboarding of newcomers - completing onboarding documents and handover to the HR & Training Coordinator
Offboarding of leavers
Administrative help with the Payroll report monthly
Fire and safety agenda
Regular weekly reminders to fill in the timesheets in the internal attendance system
Accounting Backup - 10 %
Processing and checking of the accounting documents
Archiving the documents

Secondary school education
Advanced English and Czech/Slovak language
Advanced communication, negotiation and relationship-building skills
Time management and organisational skills to work on various tasks and organise company events
The ability to prioritise and work under pressure
Attention to detail
Ability to work in the office daily (Monday to Friday 8.00-16.30)
