What are we looking for?

As an Office Assistant, you will assist in executing our office's daily operations, ensuring a seamless and productive work environment. Your role is key in maintaining an organized, efficient, and welcoming atmosphere for all employees and visitors. Reporting to the People Team Lead, you will support the execution of the executive vision of an ideal office, fostering a culture of collaboration and excellence. 

Your efforts in administrative support, facility management, and assistance with event organization will contribute to a vibrant and dynamic workplace where every team member can thrive. Your commitment to maintaining high standards of organization, customer service, and resource management will be instrumental in driving our office's success and enhancing the overall employee experience.

What will you be doing?

  • Office space upkeep - ensure the office space is tidy and organized, and perform basic upkeep of the office space, clean up and organize office space, meeting rooms, tidy up before and after guests visiting the office.
  • Office supplies - monitor and replenish office supplies, ensuring that necessary materials such as stationery and food & beverage supplies, toiletries, accessories, are always available
  • Everyday facility management - oversee the maintenance and organization of office spaces, including meeting rooms, common areas, and supplies
  • Correspondence - process, sort, and route incoming and outgoing mail, parcels, and other deliveries, including lunch deliveries, personal packages, and returns
  • Manage office breakfast and lunch - order, prepare, and unpack office breakfast, pick up lunch deliveries for employees
  • Customer service - assist with employee office needs, events, and related tasks, maintaining a professional and helpful demeanor
  • Employee support - assist employees with life management issues, including appointments, directions, and guidance, especially for recently relocated employees
  • Filing and organization - maintain physical and digital filing systems for easy retrieval of documents and records. 
  • Cost control - control and report costs in your specific area in collaboration with the financial controller
  • Basic vendors and partners - monitor, coordinate, and schedule basic suppliers and providers (such as cleaning staff, gardening staff, and other office support staff) as instructed and directed by the management team
  • Events and travel - assist in planning and executing office events, meetings, and conferences, including making travel arrangements and booking accommodations when necessary
  • Onboarding and employee assistance - provide onboarding support to new employees, guiding them on facilities and office services. facilitate new hire onboarding, assist with employee needs, and manage relevant administrative tasks as assigned by the people team lead
  • Data entry - accurately enter and update information into databases, spreadsheets, and other software systems. maintain organized and up-to-date records
  • Scheduling - manage calendars and appointments for team members, scheduling items such as conferences, and events as needed
  • Visitors - professionally greet visitors, provide necessary information, and direct them to meeting rooms accordingly
  • Administrative support - provide administrative assistance to office staff and management, including handling phone calls and inquiries, correspondence, and general inquiries as and when requested
  • Other tasks - other tasks as requested by the leadership team and management team of the company

Requirements

What will you bring along?

  • 1 year of experience in an administrative or office support role
  • Fluent in English and Spanish, both spoken and written
    • Other language skills are a plus, such as Catalan
  • Literacy in using office software - Google Docs / Sheets / Slides, Gmail, and other relevant applications
  • Strong organizational and multitasking abilities to manage various tasks efficiently and independently
  • Excellent written and verbal communication skills to interact with colleagues, clients, providers, and visitors professionally
  • Accuracy and attention to detail for tasks like data entry and record-keeping
  • Effective time management skills to prioritize tasks and meet deadlines
  • Ability to adapt to changing priorities and work well under pressure
  • Maintain a professional and courteous demeanor at all times
  • Handle sensitive information and maintain strict confidentiality
  • A passion for supporting others and maintaining a positive work environment
  • Confidence to manage your work tasks in English and Spanish
