We are looking for a seasoned Office Assistant to drive a smooth day to day office operations and serve as facilitator for the India GM and the global Intuitive leaders visiting in India. The position entails wearing several hats to maintain the operation of an office. Their capacity to handle activities, effectively communicate, and give critical assistance contributes to the organisation's overall performance
Primary Function of the Position:
- Provide vital assistance to the GM and Sr regional and corporate leadership. Manage GM calendar and support with travel arrangements for leadership team (including air, hotel, car, restaurant etc.). .
- Overall supervision on facilities, housekeeping and security operations (including related vendor and budget management). Serve as the point of contact in the office, maintain important documents errands, and perform other office duties. organize travel arrangements, manage office supply inventory, track office expense reports etc.
- Internal events management – Plan logistics, budgets and accommodation for Annual Conclave/sales meet, and other employee engagement events like – Sports Day, bring your kids to work etc.
- Support the transition to the new office location – shifting of equipment/files. Appointing of new vendors and coordination with site management at the new tech park (the new office) and management of logistics.
- Minimum 8 years prior administrative or office management experience
- Experienced computer user: Microsoft Office and Google Apps preferred.
- Strong language, writing and communication skills (verbal and written)
- Experience working in an international environment and cross cultural collaboration
- Vendor management experience
- Experience managing budget and collaborating with finance team, familiarity with basic accounting processes and procedures preferred
- Associate degree; bachelor’s degree preferred.
