The Impact of the Office Administrator to Coupa
We are looking for an Office Administrator to help lead the day-to-day operations in Paris.
You will have a strong focus on efficiency, process creation, creativity, and delivering happiness to all employees, customers and visitors.
You should be an energetic professional, comfortable wearing multiple hats, and able to adapt and thrive in our quickly growing, ever-changing environment.
You will work closely with the Senior Workplace Manager for EMEA to deliver A-class service and offer ad hoc support, as needed, to the wider team.
This is a part-time role of up to 30 hours per week.

How You Will Impact Coupa Every Day
- Work in collaboration with the Senior Workplace Manager to cultivate a productive and welcoming work environment, with specific attention to the changes of a post-COVID environment
- Be responsible for the reception area including flowers/plants, reading collateral etc. and presenting the first impression of Coupa with fun and professionalism and oversee the smooth day-to-day running of the office
- Meeting and greeting visitors, employees and clients and creating a hospitable environment in Coupa’s Paris office.
- Correspond daily with external parties, prospects, partners, and vendors.
- Management of security system
- Be a First Aid Officer and Fire Warden
- Deal with all emergency situations
What you will bring to Coupa:
- Proven full-time experience in a fast-paced, high-growth environment including facilities management.
- Ability to read, and understand construction drawings, specifications and contracts and to coordinate projects for office fit-outs and control operating and capital expenses.
- Strong knowledge of Microsoft Office and/or G-suite.
- Ability to interface with all levels across the entire organisation and work cross-functionally
- Strong oral and written communication skills. Fluency in English and French is a must
- Experience and passion for creating a warm, welcoming, workplace environment
- Commitment to ongoing process improvement and developing standards
