Position Overview 

We are seeking an experienced Med Comms Program Manager to oversee all aspects of Healthcare Provider (HCP) management for engagements, including Advisory Boards, Steering Committees, Speaker Bureaus, Congress Presentations, etc. HCP management responsibilities include HCP contracting, payment, compliance management, transparency reporting, and travel and accommodations booking.  Additionally, this individual will manage various meeting aspects including venue searches, contracts, food & beverage, audio/visual and room blocks at hotels. This role is critical in supporting our agency’s client work and expanding future capabilities in HCP engagement logistics. The ideal candidate has a strong background in HCP contracting, financial compliance, and logistics coordination within the healthcare industry. 

PLEASE NOTE: This is a hybrid position requiring onsite collaboration. The role will be based out of our office located in New York City. All candidates must be willing to commute into the office on a regular basis.

Key Responsibilities 

HCP Contracting & Payment Management: 

  • Manage the end-to-end contracting process for HCP engagements, ensuring compliance with industry regulations (e.g., Sunshine Act, Fair Market Value). 
  • Coordinate with legal, finance, and procurement teams to develop and execute HCP contracts, service agreements, and honoraria structures. 
  • Oversee payment processing for HCPs, ensuring timely and accurate compensation in alignment with contractual terms. 

Compliance & Financial Oversight: 

  • Ensure adherence to industry regulations, including Open Payments (Sunshine Act), Anti-Kickback Statute, and PhRMA Code. 
  • Monitor budget allocations for HCP engagements, flagging discrepancies and ensuring financial accountability. 
  • Stay updated on industry best practices and regulatory changes affecting HCP engagements. 

Process Optimization & Future Capabilities: 

  • Identify opportunities to enhance the efficiency of HCP contracting and payment workflows. 
  • Contribute to the development of new processes and capabilities to support client needs and expand agency offerings. 
  • Implement technology solutions to streamline documentation, reporting, and compliance tracking. 
  • Maintain a centralized tracking system for all HCP contracts, payments, and regulatory requirements. 

Meeting Logistics & Execution: 

  • Partner with internal teams, clients, and third-party vendors to ensure seamless execution of HCP meetings, including scheduling, travel, and reimbursement. 
  • Serve as the primary liaison between HCPs, clients, and internal stakeholders to manage logistics, communications, and issue resolution. 
  • Manage various meeting aspects including venue searches, contracts, food & beverage, audio/visual and room blocks at hotels. 
  • Ensure all meetings adhere to compliance guidelines and industry standards.

Preferred Qualifications 

  • 5+ years of experience in HCP engagement logistics, contracting, or compliance within a healthcare agency, pharmaceutical company, or similar regulated industry. 
  • Strong knowledge of Sunshine Act, Open Payments, and industry compliance regulations. 
  • Experience working with HCP engagement platforms, CRM systems, and financial tracking tools. 
  • Excellent organizational skills with the ability to manage multiple projects simultaneously. 
  • Strong interpersonal and communication skills to collaborate with internal and external stakeholders. 
  • Ability to problem-solve and adapt to evolving business needs. 

Salary Range: $90K to $120K 

The salary range provided represents what a potential hire may expect to earn in this role at BGB. Actual salary decisions will be influenced by several factors that we use to determine overall fit, including experience (both direct and indirect), education, training, demonstrated qualifications, and organizational need. Salary is only one component of the total rewards package offered at BGB Group.
