Overview of the role:

As the Workplace Experience Manager, you will be responsible for ensuring a great workplace experience for our employees in India. You will collaborate with key stakeholders and partners to create an engaging and productive workplace environment that aligns with Sinch's values and culture.

Key Responsibilities include:

1.      Facility Management:

    • The overall facility operations of multiple offices, ensuring all functions run smoothly and efficiently.
    • Manage Workplaces, FM Services, Operations health and safety aspects according to regulation.
    • Manage contracts and agreements for FM services across the region including Lease, CAM, FM, Security, M&E, AMC, Parking etc.

2.      Stakeholder management:

    • Curate, Cultivate and maintain relationships with all Upstream stakeholders (i.e. Sinch Business Leaders in the region) rendering ensure FM support to meet business objectives. Assist, consult, advise and guide Sinch colleagues on Facility and Travel services.
    • Establish, build and maintain downstream relationships with RE FM stakeholders like Landlords, property managers, office suppliers, sub-contractors etc. to enable deliveries and project works to be scheduled and completed.

3.      Hospitality and Office Events Support:

    • Creating and implementing system and protocols for management of all corporate events – internal and external.
    • Planning annual event / activity calendar in collaboration with HR and other stakeholders.
    • Planning and execution of all workplace events in line with the activity calendar with consistent delivery across India ensuring high level of employee engagement.
    • Management of events for multiple offices. End to end, booking, planning, executing.

4.      Financial management:

    • Own the Fm /services and Staff Welfare budgets from planning to forecasting and spend controls. 
    • Various administrative tasks, e.g. raise PRs, program manage changes, process invoices, maintain MIS of services etc. 

5.      Audits and Compliance:

    • Ensure all our facilities and services are fully compliant to all statutory norms and client requirements. Plan and undertake First, Second and Third Party Audits of all our premises.
    • Plan and execute closures of all actionable observations.  
    • Implement industry best practices to improve standards of workplace services. 

6.      Communication, MIS and Reporting:

    • Lead and manage all departmental communications including employee messaging, stakeholder communication and team communication

·       Single Point of Contact (SPOC) for the Sinch REFM team on any MIS and Management reporting.

·       Programs manage any local implementation of policies and procedural changes e.g., process automation etc.  

    • Working closely with HR from a cultural perspective for a great Workplace experience to colleagues.
    • Management of Catering services for offices and events.
    • Maintaining a vibrant atmosphere for in-house events, ensuring our office is always immaculate and inviting.
    • Work closely with HR and Internal IT to support the new starter on boarding process with courier for laptops, pickups and new starter passes
    • Manage any internal communications where required, for example global public holidays and new starter weekly email.

Eligibility criteria for the role:

    • Bachelors degree (full time) from recognized college.
    • 10 years proven experience in workplace services or facilities management roles for independent and tenanted complexes. 
    • Proven experience in workplace or facilities management roles.
    • Good knowledge of workplace regulations, auditory requirements and best practices including but not limited to SnE, CLRA, STPI / SEZ, HSE, Food Safety and Infosec (as applicable on site and timeline basis).
    • Experience in working collaboratively managing relationships with internal stakeholders, external vendors and service providers.
    • Experience in managing Corporate Hospitality, Events and travel requirements.
    • Strong project management and coordination skills.
    • Excellent communication and interpersonal skills.
    • Proactive and solution-oriented mindset.
    • Attention to detail and ability to prioritize tasks.
    • Proficient in MS office, Teams etc.
    • Experience in the technology or telecommunications or hospitality industry is a plus.
