Licensing and Operations Specialist

The Licensing and Operations Specialist at Acronis is responsible for managing and overseeing all aspects of licensing processes and operational support within the organization. This role ensures that licensing policies are accurately implemented and adhered to, while providing efficient operational support to various teams. The Licensing and Operations Specialist plays a critical role in optimizing internal workflows, managing compliance with licensing agreements, and supporting business operations to enhance efficiency and productivity.

WHAT YOU'LL DO

  • Manage renewal date, expiration, end-of-support or end-of-life of all licenses or support contracts you are responsible for. Manage and optimize scope of contracts in case of cost-effective solution. Analyze usage of licenses.
  • Registration of guarantees for equipment in our personal account, Control validity of current warranty dates, Form requests to prolong warranty. Communicate with Service companies in order to organize the diagnostic and repair process.
  • Track & Document available & new software and associated licenses in asset management software. Maintain all associated access information log information, including but not limited to passwords, tokens, login information.
  • Certify license availability. Coordinate and document periodic software / license audits and participate in other audits, as necessary.
  • Partner with software vendors (Microsoft, VMware etc.). Review license requirements for new deployments. Research software licensing models, product use rights and licensing metrics / entitlements as needed. Organize passing of various tests/qualifications to get the required Competencies and get an ability to renew the partnership.
  • Manage software ordering process and requests from enterprise users. Work with software requestors as needed to acquire additional or missing information for their requests, to keep them apprised of the status of their requests.
  • Act as a liaison to the Finance and Group Procurement departments regarding software asset information and procurement processes.
  • Collaborate with IT team leaders, procurement managers and Finance Prepare budget for IT Department.
  • Control budget spends on licenses and provide periodic updates and suggestions on improvements.
  • Focusing on changing ‘Hardware and software standards’ when they become EOL.
  • Sale of equipment to employees (not to external companies)

WHAT YOU BRING (EXPERIENCE & QUALIFICATIONS)

  • Upper Intermediate English
  • Familiarity with Microsoft licensing, legal language, and business terms
  • Talent in negotiations
  • Strong analytical and verbal/written communication skills (technical especially)
  • Advanced knowledge of Excel Experience in collecting and analyzing data
  • Good understanding of hardware specifications and parts
  • Proven working experience on same position will be a big plus
