Realty Income is looking for a Legal Administrative Assistant to work with and support the Legal-Portfolio Transactions group (and others in the Legal Department, as assigned) in all administrative services related to assigned matters and team operations.
What you will be working on:
As a Legal Administrative Assistant, you will assist the Legal-Portfolio Transactions group with organization, process, file management, and team operations by performing routine and as-needed tasks including:
- Creating and organizing electronic files for assigned transactions;
- Tracking assignment of matters, status, and key dates;
- Reviewing requests from internal business partners for completeness, communicating with internal business partners regarding missing items, and compiling documentation to prepare files for paralegals and attorneys;
- Assist with review of property information and advising attorney and paralegal of potential issues;
- Scheduling kick-off calls following assignment of new matters;
- Overseeing monthly and quarterly reporting checks by sending appropriate reminders, creating reporting forms, and following up regarding outstanding responses;
- Assisting with preparation of Power Point presentations for various meetings and training sessions;
- Scheduling team meetings, preparing agendas, keeping minutes, tracking and following up regarding assignment of action items;
- Generating and distributing database reports for the Legal-PT management team;
- Coordinating execution of legal documents and notarizing as needed;
- Assisting with incoming and outgoing mail;
- Managing team’s out of office calendar and other shared calendars;
- Handling initial preparation of due diligence materials for delivery to various external parties and prepare upload to Box.com or another file-sharing system;
- Monitoring email notices and routing to internal teams;
- Processing invoices and reimbursement requests for payment;
- Assisting with SharePoint filing and records retention compliance;
- Preparing basic legal forms, documents and correspondence; assist with title and condemnations matters on as-needed basis;
- Researching corporate good standing of vendors, and tenant and buyer entities.
- Serve as a notary public for the Legal Department (pursuant to California regulations for appointment).
What we need from you:
- Minimum of 2 years of relevant professional experience, preferably at a law firm or real estate company; and
- Combination of education, training, experience, skills, and other characteristics that would provide the requisite knowledge and abilities in support of the essential job functions;
- California Notary Public (may be obtained after employment).

The hourly rate for this role is in the range of $23.27 – $34.39. You may be eligible for an annual discretionary bonus and an annual discretionary stock award, (dependent on date of hire) to be discussed during the initial phone interview. Base salary and total compensation package determined by the candidate's experience, knowledge, education, skills, performance, and abilities, as well as internal equity, company performance, and alignment with market data.
