About the role
The Leave/Accommodation Specialist administers and facilitates all leave of absence claim processes including Workers Comp, FMLA, ADA, and other statutory or company-specific leaves. This role ensures compliance with applicable laws and policies while providing exceptional support to employees and management. Works closely with service provider and facilitates transitional return to work.
What you’ll do (Essential Responsibilities)
- Administers and facilitates the company leave and disability programs; provide required forms and documentation upon request, track open requests and return of certifications by assigned deadlines, use independent judgement and decision-making to issue determinations on continuous and intermittent leave requests, and coordinate disability and/or other supplemental employee benefits that may apply during leave situations. Effectively communicate and educate policies and procedures related to the leave and disability process with employees, managers and other internal partners. Identify and recommend escalation of complex issues to management and/or legal partners.
- Engaging in the interactive process with employees to identify reasonable accommodations under the ADA in response to unique and complex requests. Interact and collaborate with appropriate internal business partners and external medical professionals while ensuring determinations are made in a timely manner. Effectively communicate and educate policies and procedures related to the interactive accommodation process with employees, managers and other internal partners. Identify and recommend escalation of complex issues to management and/or legal partners.
- Administers the leave/accommodation tracking system. Assign roles, develop workflows, update communications, and resolve issues with vendor to ensure effective leave/accommodation management. Continuously seek to identify ways to automate processes, streamline procedures, and leverage the leave/accommodation system to support the company’s needs.
- Collaborate and communicate with internal partners to ensure consistent and timely updates on employee leave/accommodation activity.
- Facilitates transitional return to work
- Assist in the development and updating of leave of absence policies and procedures.
- Educate staff on policy changes and best practices.
- Develop informational materials for employees regarding their leave options.
- Meet with employees to review internal policies and answer questions relevant to the leave/accommodation/disability process.
- Conduct training sessions for management and HR personnel on leave policies and procedures.
- Stay current with federal, state, and local regulations related to employee benefits, including FMLA, ADA, and PWFA.
- Assist in identifying how regulatory updates impact the internal process and procedures of the leave and accommodation program, recommend and implement solutions to ensure compliance,
- Reconcile disability, paid leave, PTO and unpaid time for leave related absences. Update and submit pay records bi-weekly. Track various leave hours per employee (FMLA, ADA, Parental, other).
- Lead meetings with HRBPS to review leave and accommodation activity, providing status updates on each request.
- Respond to vendor inquiries concerning employment status, leave status and return to work dates.
- Manage the leave inbox, ensuring response to all inquiries within 24 hours.
- Provide reports and information on leave stats to management team
- All other duties as assigned.
What you’ll bring (Qualifications)
- Minimum of Two (2) years in absence management role.
- Labor Law and Compliance
- Process improvement skills
- Strong knowledge of leave of absence and accommodations.
- Strong Microsoft office skillset including superior ability to utilize Excel.
- Strong computer navigation skills; ability to quickly learn and proficiently utilize HRIS and various vendor administrative websites.
- Effective communication skills, oral & written including composition in word, excel, and PowerPoint.
- Experience with communicating policies and programs.
- Knowledge of Company policies/procedures & leave benefit package or the ability & willingness to learn.
- Strong organizational and independent decision-making skills
- Effectively communicate with people in potentially stressful situations.
- Ability to consistently meet daily, weekly and monthly deadlines.
- Possess an enthusiastic, energetic, self-motivated, and detail-oriented approach towards work and all work projects.

Strong administrative/technical skills; Comfort working on a PC using Microsoft Office (Outlook, Word, Excel, PowerPoint), IM/video conferencing (Teams & Zoom), and telephones efficiently.
