The Leave of Absence (LOA) Coordinator is responsible for supporting the administration and processing of leave of absence requests and accommodations, managing intake documentation, and maintaining accurate records. This role is primarily focused on administrative tasks, ensuring clear and effective communication with employees in stores, headquarters, and relevant third parties managing STD, LTD and paid leaves. The coordinator will also ensure compliance with company policies and legal requirements, providing exceptional support throughout the leave process.

What You’ll Do:   
  • Assist the LOA Specialist in administering the leave of absence process from the employee’s initial notice of the need for leave to their return to work including medical, parental, FMLA, accommodations and other types of leave. This includes intake, gathering and completing all required paperwork, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use. 
  • Coordinates with Risk Management to coordinate Leave of Absence for Workers’ Compensation.
  • Assist in managing and reviewing leave-related documentation, ensuring all necessary forms, such as medical certifications and request forms, are properly organized, complete and submitted on time.
  • Send appropriate FMLA (family medical leave) documents to employees.
  • Maintain up-to-date and confidential employee leave records in the company’s HR system.
  • Act as point of contact via email for employees and departments regarding leave requests, status updates, and any additional documentation requirements.
  • Work with employees, managers, and payroll to ensure proper timesheet codes are utilized for paid or unpaid leaves, PTO/FTO that is used for employee benefit premiums and employees receive applicable pay.
  • Update HRIS system with pertinent employee information and dates for employees off work and those returning to work.
  • Maintain knowledge of current, new, and changing leave and accommodation policies and laws including the FMLA, ADA, and state and local laws.
  • Provide reports on leave status and track the duration and return-to-work dates for employees on leave.
  • Process/Provide employee claim documents for short-term and long-term disability.
  • Facilitate clear and timely communication between employees, managers, and the HR team regarding leave policies, procedures, and status updates.
  • Provide support and education to employees regarding benefit questions/issues as needed.
  • Assist with Annual Open Enrollment of Employee Benefits.
  • Perform other projects and duties as assigned. 
 
What You’ll Need:
  • Associate degree in Human Resources, Business, or related field preferred or equivalent experience.
  • A minimum of 2 years of HR or leave administration experience in the retail industry preferred. Multi-unit, multi-state experience preferred.
  • Proficiency with HRIS Systems, Word, Excel, Outlook, and PowerPoint (Microsoft Office Suite) particularly in managing and tracking documents required.
  • A strong understanding of federal and state laws regulating leaves of absences (FMLA, CFRA, ADAA, HIPAA, Workers Compensation, etc.)
  • Knowledge of State Insurance programs, such as SDI and Paid Family Leave Insurance. 
  • Previous experience coordinating leave of absence process and programs for an organization.
  • Demonstrated ability to be highly organized, detail-oriented, and accurate; proven success as someone with excellent follow-through.
  • Highly effective written/verbal and interpersonal communication skills sufficient to communicate and interact effectively with internal and external customers.
  • Ability to handle multiple tasks, prioritize effectively, and manage time efficiently in a fast-paced environment.
  • Demonstrated ability to handle sensitive and confidential employee information with discretion.

Pay rate: $23.69 - $28.93/hr
