In this role, you will Head of Real Estate in addressing facilities management and ad hoc needs in all global sites. Manage the global office tickets submitted by our employees, taking action to address any needs or concerns, including escalating maintenance issues to landlords and relevant service providers. In addition, you will support the Head of Real Estate in negotiating the outsourcing of certain services to third party suppliers, as well as any facilities-related onsite tasks in Tallinn, such as coordinating the movement of teams between offices or floors. 

Your new adventure:

  • Provide support for ad hoc needs related to facilities management
  • Oversee and manage the global office tickets submitted by employees
  • Address employee needs or concerns promptly
  • Escalate maintenance issues to landlords and relevant service providers as necessary
  • Ensure outsourced services meet the required standards and are delivered
  • Coordinate the movement of teams between offices or floors in Tallinn
  • Handle other facilities-related tasks as needed to ensure smooth operations in the Tallinn office
  • Establish and maintain relationships with landlords and service providers
  • Ensure timely resolution of issues escalated to external parties
  • Ensure that all global sites are maintained to the company’s standards
  • Regularly review facilities to identify and address potential issues proactively
  • Assist in the implementation of safety protocols and emergency procedures
  • Regularly report on the status of facilities management activities
  • Serve as a point of contact for facilities-related inquiries from employees.
  • Ensure clear communication between employees, the Head of Real Estate, and service providers
