About the Role:
A successful financial technology firm is looking for a junior Assistant and Office Manager to provide administrative support to their London based team including executive calendar management and a range of office management projects as assigned. The length of the contract term will be 12-months.

The ideal candidate is a positive individual who enjoys working in a fast-paced, exciting, and growing organization. We need someone who is bright, motivated, professional, highly organized, and possesses a proven track record of high performance. 

This role requires outstanding planning, time management, communication and organizational skills. Superior attention to detail and the ability to meet tight deadlines and juggle multiple requests is critical. A high level of integrity and discretion in handling confidential information is required and strong professionalism, interpersonal skills and excellent judgment in dealing with colleagues and external contacts is imperative.


What you’ll do in this role:
Junior Assistant:

  • Provide administrative support for the London-based team as needed to help create a productive working environment. You will also be required to cover the Leadership support when the EA is on leave.
  • Collaborate closely with EA/Office Manager colleagues in London and New York to ensure an optimal, productive work environment across the firm. 
  • Work with the London EA to maintain and manage calendars. Schedule internal/external meetings, appointments, and conference/video calls.
  • Work with the London EA to coordinate domestic and international travel arrangements for colleagues, and source accommodation options.
  • Responsible for the coordination of shipping items to conferences internationally as and when required.
  • Assist team members with travel and expense reports using Certify.
  • Assist the team with admin projects as and when required.

Office Management:

  • Assist the London EA as a point of contact for London workspace facilities.
  • Proactively ensure the working environment is as tidy, attractive and productive as possible.
  • Take ownership of office supplies with ordering and keeping stocks as they should be.
  • Provide conference room support to promote proper booking of rooms and VC setup for meetings, as needed. 

Colleague and Candidate Experience:

  • Work with People & Development, Employee Services and our EA/Office Manager to ensure a positive candidate experience during the onboarding process.  
  • Contribute to the organization of local employee social events (holidays, office events, happy hours, etc.) 

 

What we are looking for: 

  • Ideally have at least 2 years of Assistant or administrative experience. Previous experience in office management is preferred.  Start-up experience is desirable.
  • Prior experience includes providing leverage through effective calendar management and scheduling.  
  • Positive approach and collaborative demeanor with can-do attitude and strong problem-solving skills. 
  • Operates with a high sense of urgency and responsiveness. 
  • Highly organized with strong interpersonal, verbal and written communication skills and technical capabilities.
  • Able to work with minimal direction, exercise good judgment, and work in a fast-paced, start-up environment.
  • Prior success in roles that clearly required maintaining confidentiality and using good judgment in making decisions.
  • Proficiency with Google Workspace / G-Suite, Slack, Microsoft Office. Additionally, Salesforce and Certify experience is an advantage. 
  • Core hours are 9:00 a.m. – 5:00 p.m. daily with flexibility as needed and accessibility outside of office hours to assist with time sensitive matters.
