Reporting to the Director of School Operations, the Operations Manager will be responsible for supporting school-based staff with operational information systems, maintaining and analyzing operational data, supporting student recruitment and enrollment, supporting and managing special projects, and coordinating any network-wide academic or operational purchasing. This is an exciting opportunity for a dynamic and driven individual to develop a range of operations skills in a growing, fast-paced environment.

Responsibilities

  • Office Management
  • Serve as a point of contact for the school, including managing the office, greeting families and other visitors, and answering phone calls and emails;
  • Provide comprehensive support to overall school operations and cultural practices;
  • Manage the cleanliness and organization of the operations office;
  • Ensure that there is a welcoming and customer service environment.

  • Inventory Management
  • Create and manage inventory systems that ensures school purchases and stocks required curricular materials (e.g., textbooks, science kits, etc.) and other operational school-wide purchases; 
  • Responsible for training staff on the ordering system;
  • Manage inventory to ensure that supplies at the schools are inventoried on a regular basis.

  • Facilities Management
  • Support with ensuring facilities issues are raised and addressed in a timely fashion;
  • Participates in regularly scheduled walkthroughs with the Director of Operations to ensure facilities and operational systems are in good working order;
  • Develop and manage systems to uphold aesthetics standards with staff.

  • Systems & Processes
  • Support the development and implementation of school-wide systems and procedures that ensure operational excellence within the school. Systems include but are not limited to Transportation, Safety, School Lunch Program, procurement, and compliance tracking; 
  • Manages school-wide systems to ensure successful execution:
  • Arrival
  • Dismissal
  • Attendance
  • Supports the Director of Operations in identifying areas for improvement and helps to continually improve school operations systems and procedures and lead or support with special projects in this area.

  • Student Recruitment
  • Manage student recruitment, enrollment and re-enrollment process under the guidance of the Director of Operations;
  • Manage the outreach and communication to prospective and accepted families;
  • Manage the outreach and communication to current DREAM families to support with re-enrollment process; 
  • Create and manage the Family Referral Process, including current family outreach regarding referral process, referral data collection, and outreach to submitted;
  • Plan and execute family engagement events under the guidance of the Director of Operations; 
  • Manage enrollment and re-enrollment data, including wait list management and student discharges, to ensure campus meets and maintains grade level enrollment targets;
  • Plan and execute logistics for student recruitment events including but not limited weekend and after-hours events.

  • Administration
  • Manage scholar information data systems and ensures all platforms are up-to-date and accurate (Powerschool, ATS, SchoolMint);
  • Conduct data entry and analyze and report on operations data, including data required for school, board and regulatory reporting; 
  • Manage the maintenance and execution of centralized systems, such as distributing student MetroCards, uniforms and any other materials along with coordinating school food services for staff and scholars;
  • Support with planning and implementation of team-wide events, from professional development to team-building to org-wide occasions;
  • Support the Director of Operations with special projects as needed, and serve as point person for all special projects work.

  • Assessment Administration
  • Receive, inventory, print, secure, and distribute all paper assessments;
  • Prepare assessment materials for distribution (i.e. testing bins);
  • Coordinate pickup and drop off of state exams, Regents, and/or AP exams and electronic set-up verification for any electronic assessments such as MAP;
  • Support with monitoring the testing environment and students.  Ensure testing procedures and regulations are followed; 
  • Collect and account for all testing materials, test scoring, and data roll up for the school instructional team as needed;
  • Manage the set-up request for facilities, student meal request, and outsourced staff meals orders.

  • Event & Trip Management
  • Collaborate with the Director of Operations to manage the logistics, planning, and implementation of team-wide events, including but not limited professional development sessions, team-building events, and org-wide occasions. 

  • Talent Management
  • Support in the training and onboarding of new staff;
  • Support in the yearlong training and development of coordinators;
  • Support with the coaching and feedback of operations coordinators.

Qualifications

  • Bachelor’s degree, required;
  • At least 2 years of administrative experience, preferably in schools or a non-profit setting, preferred;
  • Bilingual Spanish/English, preferred;
  • Knowledge of and experience with school facilities and relevant technologies (e.g. Google Suite, PowerSchool, DeansList), a plus;
  • Excellent written, oral, and interpersonal communication skills;
  • Strong commitment to customer service and understanding of the importance of administrative functions to the organization's mission;
  • Outstanding dependability, with a commitment to being on-time and prepared;
  • Collaborative team-player;
  • “Whatever it takes” attitude and a willingness to change priorities at a moment’s notice;
  • Strong computer skills, including a high degree of proficiency with Microsoft Word, Excel and Google Suite;
  • A strong belief in the mission and values of DREAM, including the desire to make a difference in the lives of our students, families, and community.

Compensation

  • DREAM offers a competitive salary commensurate with relevant experience with the potential for an annual performance-based increase. The incoming salary range for this position is $70,000 to $75,000 per year. New hires are typically brought into the organization at a salary closer to the start of the range depending on qualifications, internal equity, and the budgeted amount for the role. All staff are eligible for annual performance-based increases. Because we value staff tenure in each role, we do not currently cap salary ranges.
