Job Summary:

The Human Resource Assistant will undertake administrative duties and provide services to ensure the smooth functioning of the human resources department. The ideal candidate should be open to following provided directions. Please note that this position requires onsite presence and is not a work-from-home or hybrid role due to business requirements. The working hours are from 9 am to 5 pm with a one-hour lunch break.

Responsibilities:

  • Assist with new hire on-boarding and employee off-boarding process ensuring proper documentation and notification to other departments and third parties as appropriate.
  • Complete HR reports in an accurate and timely manner including but not limited to FMLA, COBRA, Worker’s Compensation, and Unemployment Claims.
  • Complete MLS reports in an accurate and timely manner.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Maintain and update company directory as needed.
  • Answers frequently asked questions from applicants and employees relative to standard policies, hiring processes, etc.; refer more complex questions to VP of HR.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Will be asked to perform periodic audits of HR files and records to ensure that all required documents are collected and electronically filed.
  • Provides clerical support to Human Resources. 
  • Work closely with Payroll and Accounting departments as directed by Director of Payroll and Benefits
  • Conducts or assists with new hire orientation.
  • Assists with planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Ability to work at a fast-paced environment.
  • Must be able to work non- standard hours which are nights, weekends, holidays, etc.
  • Must be willing to work rain or shine at events that are scheduled.
  • Performs other duties as assigned.

 

Requirements:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn, human resource information system (HRIS), and similar computer applications. 

 

Preferred Qualifications

  • Associate’s or Bachelor’s Degree a Plus.
  • Prior related office experience a must.
