Primary Function of Position:
A customer focused and detail-oriented individual who will create a positive experience for all those interacting with the People Services team. People Services Representatives are typically the first point of contact for most questions that come through HR HelpNow (our ServiceNow case tracking system). Representatives are responsible for providing a timely response to inquiries and assisting with routing cases to the appropriate teams. The Representatives may assist with scheduling interviews, completing any required pre-employment screening, and inputting new hire data in the system. This job provides an opportunity to be exposed to many areas of HR.
Roles and Responsibilities:
- Respond to employee questions and inquiries while delivering high-level customer service.
- Ensure a positive onboarding experience for new hires by ensuring all aspects of onboarding are completed accurately and timely.
- Responsible for day-to-day communications with other members of the HR team, employees, and new hires via email, HR HelpNow (ServiceNow), Zoom (video and chat) and other necessary means of communication.
- Administer employee data changes, including managing and maintaining employee files and data with accuracy.
- Comply with defined process flows and escalations paths.
- Ensure data integrity is maintained in all HR systems by following data management processes and procedures.
- Assist with employment verification requests, required background checks, coordination with recruiting and payroll and other tasks required to support the successful onboarding of an employee.
- Partner closely with recruiting team to create a best-in-class interview experience for candidates.
- Schedule interviews for candidates and effectively manages overall candidate experience through clear communication, timely updates, and remaining flexible to changes.
- Maintain close communication with recruiters, hiring manager and interview team, as appropriate, to keep them updated throughout the interview process.
- May assist with administering other special projects as needed.
- Limited travel (less than 5%) as needed by business.
Required Knowledge, Skills, and Experience:
- Bachelor's degree and/or certification in HR, Business Administration, or related field is preferred.
- Human Resources experience.
- Demonstrated ability to manage multiple tasks requiring rigorous and meticulous attention to detail.
- Ability to partner with others to achieve solutions and outcomes contributing to improved service delivery.
- Excellent organizational skills and continuous improvement mindset.
- Must be fluent in English and local language (read and write).
