About the Role

The HR Operations Specialist is responsible for ensuring the efficient and smooth operation of all HR-related functions, from employee data management and payroll processing to compliance and HR system management. The role requires a detail-oriented individual with a strong understanding of HR processes who can work collaboratively across departments to support the overall HR strategy and contribute to the company's success.

Key Responsibilities

  • Payroll and Benefits Administration
  • Process and manage the payroll system, ensuring timely and accurate payment to employees.
  • Administer employee benefits programs, including health insurance, retirement plans, and other perks.
  • Handle tax filings, bonus distributions, and any other compensation-related tasks.

  • Employee Data Management
  • Maintain and update HR databases with accurate employee information, including personal details, employment contracts, and attendance records.
  • Ensure confidentiality and security of employee data in compliance with data protection regulations.

  • Support for Recruitment Processes
  • Assist in the onboarding process for new hires, including preparation of employment contracts, orientation schedules, and benefits enrollment.
  • Manage the offboarding process for departing employees, ensuring all necessary paperwork and exit interviews are completed.
  • Support the recruitment team with job postings, candidate communications, and interview scheduling as needed.

  • Compliance and Regulatory Adherence
  • Ensure HR operations adhere to local, state, and federal labor laws and regulations.
  • Prepare and submit reports to regulatory bodies as required.
  • Stay updated on legal changes and recommend necessary adjustments to HR processes.

  • HR Systems and Technology Management
  • Oversee the maintenance and optimization of HR systems such as HRIS, ATS, and payroll software.
  • Troubleshoot system issues and coordinate with vendors for system upgrades or modifications.

  • Process Improvement and Efficiency
  • Continuously evaluate HR processes to identify areas for improvement and implement solutions to enhance efficiency.
  • Develop and document standard operating procedures for HR functions.

  • Employee Queries and Support
  • Serve as the first point of contact for employee inquiries related to HR issues, providing timely and accurate information.
  • Support employees in understanding company policies, benefits, and procedures.

Qualifications

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.

  • Experience: 3+ years of experience in HR operations, payroll management, or a similar role.

  • Skills:
  • Strong knowledge of HR processes and systems.
  • Proficiency in HRIS and payroll software.
  • Excellent organizational and multitasking skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Good communication and interpersonal skills.

  • Language:
  • Proficiency level in English and Japanese.

Preferred Qualifications:

  • Experience in a fast-paced environment or startup.
  • Familiarity with labor laws and regulations in Japan.
