Role Summary

The HR Coordinator serves a key role in the HR organization and requires an individual who can deliver excellent tactical day-to-day (but not insignificant) operations related to Talent Acquisition (internal and external) and HR Administration at Sophos.
 

What You Will Do

  • This role will be supporting HR & Recruiting team and will be located in our Manila office. The HR Coordinator will:


  • Recruitment
  • Ensure a high-quality candidate and hiring manager experience throughout the HR recruitment process, supporting where needed.
  • Schedule all candidate interviews with the recruiter and managers as needed.
  • Meet and greet candidates attending onsite interviews.
  • Post and remove role adverts to varying websites, job boards, and internal sites as needed and directed by the recruiters.
  • Update HRIS entry to new hires and other payroll-related administration work.
  • Construct employment contracts and supporting documentation, track completion and return of documents and ensure the new hire has all required information to ensure a smooth start and great first-day experience.
  • Ensure all new joiners have completed the pre-employment requirements.
  • Assist with the preparation of career marketing material and branding initiatives.
  • Direct all calls and enquiries related to HR or Recruitment as appropriate.


  • HR Administration
  • Provide support in the onboarding process for all new hires, including owning and partnering with other business areas and hiring managers on the notification of new starters.
  • Prepare governmental reports of new joiners to SSS, PAG-IBIG, and Philheath (new hire inclusion).
  • Ensure all concerns related to SSS, PAG-IBIG, and Philhealth are resolved timely.
  • Payroll Registry, government payments/collection list, and other government reports are filed correctly.
  • Enrollment and Cancellation of HMO for new hires and resigning employees.
  • Assist HR in drafting employee notices such as but not limited to:
  • Regularization/End/Extension of probationary period
  • Bank endorsement for termination of account for exiting employees
  • Bank endorsement for the creation of account for new employees
  • Makes sure that the 201/Employee including the Teams file is complete, well organized, and updated from time to time.
  • Provide logistical support in the following (but not limited to) tasks:
  • Room and food (as applicable) reservation for HR-driven meetings
  • Employee events support
  • SMT visits and other global guests including vendors, suppliers, and partners.

What You Will Bring

  • Essentials
  • Graduate of HR or any related course.
  • At least 4 years of HR and Recruitment Administration experience.
  • Works in a well-organized manner and is keen to details.
  • Basic candidate sourcing experience will be desirable.
  • Familiarity with Philippine governmental reporting requirements (SSS, HDMF, Philhealth, BIR)
  • High level of confidentiality in dealing with sensitive information.
  • Familiar with the HR operating system will be a plus point.
  • IT savvy

  • To be successful in this role you will possess outstanding administration and customer service skills. The ability to manage priorities thoughtfully and to address urgent needs with poise and clarity is essential. Communication skills, authenticity, creativity, and a can-do attitude are required to succeed in the Sophos environment. You’ll need attention to detail, the ability to learn and navigate new systems, and the courage to speak up and share your point of view while collaborating for the broader good of Talent, HR, and Sophos.
