We're seeking an HR Administrative Assistant to play a pivotal role in maintaining our employee records and supporting HR transactions. In this position, you'll be responsible for ensuring accurate and up-to-date employee records, processing HR transactions such as new hires and status changes and managing employee absences in compliance with company policies and regulations. 

Responsibilities:

  • Maintain accurate and up-to-date employee records, including personnel files, and HR databases.
  • Process employee status changes, such as promotions, transfers, and terminations.
  • Process HR transactions, such as new hire paperwork, employment verifications, and salary changes.
  • Ensure compliance with HR policies and procedures in all transactions.
  • Manage and oversee employee absences, sick leave, and disability, while ensuring compliance with company policies and legal regulations.
  • Assist in payroll preparation by providing relevant data, like absences, bonus, and leaves.
  • Manage the department’s inbox and address queries accordingly.
  • Prepare HR-related correspondence, such as offer letters, employment contracts, and termination letters.
  • Assist with drafting HR policies, procedures, and other documentation as needed.
  • Support vendor onboarding process and coordinate invoices for payment.
  • Assist with ES projects and initiatives, such as system implementations, policy updates, and process improvements.
  • Provide administrative support to project teams as needed.

Qualifications:

  • Proven work experience as an HR administrative assistant or HR administrator
  • Hand on experience with HR software, like HRIS or HRMS
  • PC literacy and experience with MS Office applications
  • Knowledge of labor legislation
  • Excellent organizational and time-management skills
  • Teamwork skills
  • BS degree in Human Resources or relevant field
