W Costa Navarino, exclusively for adults and young adults over 12 years old, offers 226 stylish rooms, 2 bedroom suites and 3 bedroom villas with infinity private pools, staged in the Bay of Navarino with stunning Ionian Sea views, The Watersports Center, The Away Spa and gym with a heated 25m-long lap pool, including the new Navarino Agora, an open marketplace with retail, street food, open-air cinema and exciting programming throughout the day and night.

Costa Navarino is looking for a Groups & Events Executive. The selected candidate will demonstrate a strong awareness of the significance of guest satisfaction by effectively collecting and sharing information related to group business across all hotel departments. Responsible for handling daily tasks as part of a collaborative team, they will ensure timely communication of essential details. The mission is to maximize performance in the role while respecting both internal and external guests by adhering to hotel policies and standards. The Events Executive will need impeccable attention to detail and exceptional organizational skills to competently deliver all aspects of the role to the expected standard. Key skills for this position include the ability to multitask, prioritize effectively, and exercise initiative. Additionally, this role will involve direct client interaction as well as administrative responsibilities.

Responsibilities

  • Ensure that all the hotel systems are updated accurately and on time with the information provided by the group organizer
  • Oversee accuracy of room blocks and reservations and revise room blocks to maintain the required number of available rooms and keep organized files of all groups.
  • Issuing the internal communication for a group within a timely manner before group arrival including all the important information
  • Effective and constant communication with group organizers during the stay, including Welcome and farewell.
  • Responsible for the accurate daily check of a group folio based on the contracted arrangements. Check for extra charges and follow relevant procedures (signatures, Opera Pay Master report etc.). Ensure billing accuracy and conducts bill reviews with the clients prior to processing the final bill.
  • Conduct site inspection for confirmed group booking according to hotel standards
  • Understand the product we offer, including event space, room types/layouts, capacities, and event/restaurant menus.
  • Handle any comments or complaints that might arise from group organizers effectively
  • To effectively communicate, in a timely manner, any amendments or alterations to a group/event ensuring that the clients’ needs are always met.
  • Demonstrate knowledge and update in a timely manner all hotel systems (GXP,Opera, etc).Produce required reports when needed.
  • Coordinate all activities involving the pre- and post-event process
  • Delegate daily tasks to coordinator. Supervise and assist where necessary.
  • Communicate challenging situations accurately to responsible departments.
  • Ability to adapt - Maintains performance level under pressure or when experiencing changes or challenges in the workplace.
  • Rewarding bonvoy points in a timely manner after checking the required criteria mentioned on the Job Aid for posting points.
  • Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times. Guide and encourage team to do the same.
  • Attend all trainings and seminars provided by the company and continuously remain updated for all trends and market news

Requirements

  • Two years of experience as an Agent or Team Leader in the travel, tourism, or hotel service sector is mandatory
  • Bachelor’s Degree (BA/BSc) in Business or Hospitality Management
  • Proficient in written and spoken English, with the ability to negotiate effectively; fluency in at least one additional language, preferably Greek
  • Strong communication skills, including verbal, listening, and writing abilities
  • Excellent organizational and administrative skills, with experience in office management
  • Exceptional time management skills
  • Ability to multitask and handle daily responsibilities efficiently
  • Proactive and dependable in all tasks
  • Strong decision-making capabilities
  • Proficient in computer skills, including word processing, spreadsheets, email, and hotel management systems such as Opera PMS
  • Keen attention to detail, combined with a thorough approach to task execution, follow-up, and timely completion
