Costa Navarino is looking for a Groups & Events Assistant Manager. The selected candidate will be responsible for ensuring the maximum performance of the Groups & Events department, while consistently adhering to established procedures and guidelines. This includes maintaining a strong focus on hotel guests, associates, and department team members. The candidate will oversee the knowledge and understanding of hotel services, systems, and procedures among all team members, while fostering an environment that prioritizes the overall guest experience. Additionally, they will provide constructive feedback and recognize the efforts of team members. The candidate will also manage the accuracy of information entered into hotel systems, conducting checks on forecasts, budgets, and departmental productivity. This role primarily involves handling groups and events of average complexity.

Responsibilities

  • Supervising the departments’ daily tasks, delegation of team tasks, follow up and completion in timely manner
  • Manages group room block and meeting spaces for average to large-sized assigned groups.
  • Overview hotel systems that have accurate information by running checks, reports (Opera PMS, Sales & catering, Marsha & One Yield Revenue)
  • Ensure that events progress seamlessly by following procedures, collaborating with other employees, and ensuring accuracy.
  • Coordinates and communicates event details both verbally and in writing to the customer and property operations.
  • Lead formal pre-event and post-event meetings for average to large-sized assigned groups.
  • Greets customers during the event phase and creates a trustable relationship during the execution of details.
  • Make presence always known to customer during this process.
  • Identifies operational challenges associated with his/her group and determines how to best work with the property staff and customer to solve these challenges and/or develop alternative solutions.
  • Respond to and handle guest problems and complaints.
  • Uses personal judgment and expertise to enhance the customer experience.
  • Ensure billing accuracy and conduct bill reviews with the client prior to processing the final bill.
  • Organize weekly roster according to operational needs and company objectives and perform all HR admin tasks (Scan, Leaves, DRs etc) accurately and in timely manner.
  • Train, Coach ,Empower, Reward and Motivate team. Identify Training needs and create a strong Team Spirit 
  • Prepare / Complete all typed materials such as banquet event orders and reports accurately and thoroughly realizing the importance of such in order to ensure anticipated results.
  • Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times. Guide and encourage team to do the same.
  • Attend all trainings and seminars provided by the company and continuously remain updated for all trends and market news

Requirements

  • Minimum of 2 years of experience in the travel, tourism, or hotel service sector (mandatory).
  • 1-2 years of experience as an Agent or Team Leader in Groups & Events Management (optional).
  • At least 2 years of supervisory experience in the hospitality sector (mandatory).
  • Bachelor’s Degree (BA/BSc) in Business, Hospitality Management, or a related field.
  • Ability to work effectively and communicate within a multinational environment, with proficiency in both written and spoken English and Greek; additional languages are a plus.
  • Proven managerial or supervisory experience in Groups & Events within the hotel or hospitality industry.
  • Strong communication and interpersonal skills, with the ability to build effective working relationships.
  • Exceptional organizational and administrative abilities, with a keen attention to detail and a collaborative approach to work.
  • Ability to multitask effectively and efficiently manage daily responsibilities.
  • Flexibility to adapt to a wide range of work situations and challenges.
  • Strong supervisory and delegation skills.
  • Proficiency in computer skills, including word processing, spreadsheets, PowerPoint presentations, PDF documents, email, and hotel systems such as Opera PMS.
  • Strong customer awareness and focus, with a commitment to delivering high-quality service.
  • Excellent communication skills, with the ability to engage with both internal and external guests while aligning with company goals and needs.
  • Ability to forecast revenues and manage group folios, ensuring accurate approval processes.
  • Capacity to work under pressure, stay organized, and contribute positively to a team environment.
  • Experience in managing crisis situations, including those related to health, safety, or security, following established procedures.
  • Proactive in identifying opportunities for process improvements, with a creative and open-minded approach to problem-solving.
