ABOUT THE JOB

The ACLU seeks a full-time position of Gift Planning Coordinator in the Development Department of the ACLU’s National office in New York, NY. This is a hybrid role that has in-office requirements of two (2) days per week or eight (8) days per month.

This position is part of a collective bargaining unit. It is represented by ACLU Staff United (ASU). 

WHAT YOU'LL DO 

Reporting to the Manager of Gift Planning Administration, the Gift Planning Coordinator will be responsible for providing support for the management and administration of trusts and estates, and life income gifts.

YOUR DAY TO DAY

  • Handle ongoing estate and trust administration, including processing distributions and notifications
  • Act as the first point of contact for inquiries and correspondence relating to life income gifts and bequests received from trusts and estates. Handle phone conversations with donors, attorneys, trustees and executors
  • Communicate with financial institutions to collect forms and instructions for receiving gifts by beneficiary designation
  • Assist with regulatory compliance
  • Compose, edit and proofread communications for external donor audiences
  • Coordinate projects with Gift Processing, Finance, other Gift Planning staff, and other Development units, as well as with outside bank administrator
  • Process new and repeat charitable gift annuities, including running financial calculations, preparing annuity agreements and correspondence with donors
  • Handle ongoing gift administration, including processing quarterly payments to annuitants, annual tax statements and reports to trust donors and responding to general inquiries of annuitants and trust donors
  • Produce management reports; update and maintain database records and paper files; and process distributions
  • Work in conjunction with the Director of Gift Planning to be responsible for vendor payments, budget monitoring and reporting
  • Provide day-to-day financial management of unit operating budget
  • Conduct research on donors and prospects as necessary
  • Engage in special projects and other duties as assigned

  • Strong proofreading and editing skills

  • Demonstrates the interest, ability and assertiveness in undertaking the responsibilities of the position
  • Proactively approaches assigned as well as unassigned tasks and projects
  • Consistently sees work through to completion
  • Anticipates obstacles and suggests or performs alternative courses of action to accomplish the desired results for difficult projects
  • Ability to speak and write effectively to convey clarity, specificity, and exactness, being mindful of the intended audience
  • Ability to exercise good judgment about who needs what information and how to deliver it most effectively
  • Excellent interpersonal skills and the ability to represent the organization to donors as well as interface with all levels of staff at the national office, the affiliates and volunteers while maintaining tact, diplomacy and confidentiality
  • Proficient in Microsoft Office, i.e. Word, Excel, Power Point, Outlook and Internet usage
  • Knowledge of, or desire to learn about, the gift planning field is desirable. Ability to apply gift planning ideas and techniques to donor cases

PREFERRED QUALIFICATIONS

  • Knowledge of estate and trust administration
  • Knowledge of, or desire to learn about, the gift planning field
  • Familiarity with fundraising databases
  • Experience working at complex national or international nonprofits

COMPENSATION

The ACLU values equity, transparency, and clarity in pay. Consistent with the ACLU's compensation philosophy there is a set salary for this role. The ACLU also has a locality adjustment policy that applies to salaries. The annual salary for this position is $73,251 (Level K), reflecting the salary of a position based in New York, NY. This position is subject to a hybrid schedule of 2 days/week or 8 days/month in-office.
