The front-of-house team provides services to the whole Casbah Group in London and is one of the most important teams in the group. It’s the beating heart, the first thing that people experience when visiting us and the day-to-day contact for all our people.

Our guests’ experience when visiting our offices can make a lasting impression. Ideally the front of house team should know as many people as possible on first name terms, including clients.

The Exposure showroom is the heartbeat of our Fashion PR function at Exposure. As the Front of house Assistant for No.20, you will work closely with the core showroom team, reception, and wider fashion team to ensure the movement of samples and deliveries in and out of the office is managed efficiently and within budget.

The Job

Reports to: Daniel Bramble

You will enjoy a high profile across our group. Your role as Front of House Operations Assistant is to understand the agencies in the Casbah, how you can help them and making day to day operations effortless. Along with the Front of House team, you will have overall responsibility for the functioning of the Casbah’s London estate, including opening and closing the building, managing key health and safety processes, and providing a responsive and proactive maintenance and repair service. You’ll work closely with the People and Culture team to help make the employee experience an exceptional one.

You will be responsible for the supervision and day to day operations of any showroom activity or social space event that affects no.20. You will also work with the showroom team to ensure the showroom and all common areas are kept tidy, organised and hazard free. You will be proactive, incredibly well-organised, logistically minded and have the foresight to address any issues before they arise.

Requirements

Key Areas of Responsibility

Front of House Operations

  • Opening of the buildings each morning, sharing this responsibility with the operations assistant in No.6.
  • Day to day responsibility for the smooth running of the building – keeping it tidy and in order, encouraging colleagues to be tidy and tidying after them self where necessary.
  • Supporting the operations team with jobs that come through the ticketing system.
  • Office management across Exposure, offering support to the group companies where needed to ensure the office is a special place to work.
  • Setting up meeting rooms and organising refreshments for important client and new biz meetings.
  • Help to organise and set up internal functions like company meetings, bar nights, social gatherings, cultural events, and external speakers in the office.
  • Helping the front of house lead with incoming/outgoing deliveries and ensuring the office is clear and tidy.
  • Ensure that no products, boxes, rubbish, or mess of any kind is left within the common parts of the building.
  • Attending weekly operations meetings and updating them with any issues, collaborating and creating companywide solutions.
  • Running general errands – you are the office runner, grabbing supplies for internal parties, or supplies for the office.
  • Internal stock management including stationary orders, kitchen supplies and bathroom supplies.
  • Covering reception lunch and welfare breaks as well as during busy periods and absences.
  • In non-busy periods, support the central office function of the whole business with any admin tasks requested.
  • It is your responsibility to get to know local businesses and retailers in the area, and for them to know about the Casbah (including any discounts they are willing to provide to our employees – an up-to-date discount list should be kept)
  • Supporting in office sustainability/net zero and recycling.

Showroom

  • Deliveries tracker management.
  • Management of sample returns process with the showroom interns to ensure product is moved from reception and back into the showroom.
  • Supervision of the showroom function and maintenance of the space to ensure it is well presented and organised efficiently.
  • Schedule and organise meeting rooms / spaces for external appointments as required.
  • Ensure the Showroom area is kept tidy and well presented (always fit for a visit from the most important client at any time) including: 
    • Kitchen
    • Photo studio space
    • Soft lounge area
    • Toilets are clean and fully stocked.

Social Space

  • Social Space room set up.
  • Casbah Bar replenishment and stock management
  • Management of the social space design for events in no.20 such as vinyl installs and developing Exposure Assets.
  • Support Art gallery installation and curation.

Clients

  • Getting to know the business to predict and proactively meet needs.
  • Working with key stakeholders across the company to understand points of concern and priorities.

Commercial

  • Proactively seek opportunities to improve the way we work, our spaces and how we meet the needs of our team and visitors.
  • Adopting a continuous improvement mind set towards processes.

Team

  • Work closely with front of house, showroom, facilities, and HR teams to provide a seamless, end to end experience.
  • Identify opportunities to support outside of normal role.
